Job summary

As Senior Hospitality & Workplace Services (H&WS) Coordinator, you'll be an integral part of the Facilities and Hospitality Services Team, and a pivotal force in managing facility-, hospitality-, hoteling- and meeting-related activities. You'll have direct responsibility for day-to-day office, hospitality, meeting or hoteling services and programs.

In addition to performing your routine H&WS duties, you'll manage various hospitality and workplace-related activities in a Sub-Area location. You'll oversee operational aspects of facilities maintenance/janitorial services, utilities management and facility security. You'll also coordinate internal space/furniture maintenance and allocations, hoteling, internal meetings, catering, receiving of guests, and onboarding of new hires.

Responsibilities

Supports the office Location Manager with hospitality & workplace services related administrative tasks and projects, including creating, reviewing and analyzing data and various reports, coordinating updates to a variety of internal documents, manuals and toolkits, coordinating office events and initiatives, scheduling team meetings, etc

Support various H&WS functions at Ernst & Young sites, providing consistent quality, and cost-effective services. Arrange and coordinate H&WS for hoteling staff

Supports the office Location Manager with hospitality & workplace services related administrative tasks and projects, including creating, reviewing and analyzing data and various reports, coordinating updates to a variety of internal documents, manuals and toolkits, coordinating office events and initiatives, scheduling team meetings, etc

Provides superior knowledge and advice to make certain that EY assets and images are protected by maintaining a safe, functional and productive work environment.

May assist with and coordinate project plans for minor construction (including associated furniture, technology installations, vending services, copiers, boxes, equipment, etc.). Acts as a coordinator for small and large projects for hospitality & workplace services.

Recommend H&WS policies and procedures and share leading practices. Gather feedback on services and identify improvements

Provide high quality on-site H&WS to all residents and guests. Assess client needs and come up with creative ways to enhance services

May supervise and/or mentor internal H&WS staff, including workplace services and/or hospitality staff; identifies ways to maximize personnel and office.

Help find ways to improve cost, and introduce leading practices into service delivery

Manage, develop and coach your team to continually improve their customer service and technical skills

Carry out cross-training and team building. Identify training and development needs

May participate in recruiting and hiring workplace and hospitality services personnel

Confirm that all work complies with firm procurement policies

Gain an in-depth knowledge of systems, tools, work routines and procedures related to Ernst & Young's facilities and hospitality services function

May help develop and tracking of the annual budget, and confirm that the department operates within its budgetary guidelines

Maintain firm standards. Recommend ways to improve processes and manage expenses

Coordinate with vendors including caterers, furniture rentals, and audio visual equipment rental and repair

Gain an understanding of Ernst & Young Reserve, and Ernst & Young Workplace system tools

Operates within established procedures and standards. Expected to make process improvement and expense management recommendations as the business and support models evolve. Must be an independent thinker with the ability to identify, present and implement creative solutions. An analytical and process-minded individual a plus.

Knowledge and skills requirements

In depth knowledge of systems, tools and procedures related to office maintenance, hospitality, meeting and hoteling services. Advanced knowledge and use of Microsoft Office (Excel, Access, Work) is required. Specifically, ability to share technical knowledge with the EY Reserve and EY Workplace system tools is required. Ability to draft and edit documents and office memos required.

This position may require overtime (as needed). Position also requires excellent attendance

Experience

A minimum of 5-7 years related experience

Education

Bachelor's degree or equivalent experience
