The Human Resources (HR) Assistant, under general supervision, performs a variety of responsible and complex technical and administrative duties relating to personnel functions and program including the areas of employment recruitment, benefits administration, classification and compensation and employee relations. The HR Assistant provides assistance to SoutheastHEALTH employees and the general public regarding human resources activities, processes, policies and procedures.
Essential Duties and Responsibilities
Ability to handle high pressure and manage multiple priorities
Perform a wide variety of responsible clerical, technical, administrative and office support duties in support of the Human Resources department.
Provide customer service, both in-person and by telephone; screen and direct telephone calls; take and relay messages; direct questions from employees and the general public regarding human resources issues, rules and regulations relating to human resources management to the appropriate HR professional.
Respond to employment verification requests and other requests for information.
Process personnel action forms and maintains personnel records to ensure timely performance evaluations and appropriate actions.
Maintain personnel records ensuring timely and accurate records.
Enters, updates, and/or retrieves information from various human resources systems.
Calculates and enters various types of compensation adjustments; completes forms to notify employees of changes.
Responds to inquiries from employees regarding human resources transactions.
Establishes, maintains and updates Lawson information system and provides personnel reports.
Maintains human resources records by recording new hires, transfers, changes in job classifications, and merit increases.
Orients new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs
Documents human resources actions by completing forms, reports, logs and records.
Prepare required federal and state notices and monitor time requirements regarding these entitlements.
Gather data for special personnel projects and reports.
Perform a variety of general office support duties: make copies; maintain calendar of activities, meetings, and various events for assigned staff; process mail including receiving, sorting, time-stamping, logging, and distributing incoming and outgoing correspondence and packages; order office supplies as requested.
Performs word processing, sending and receiving faxes, maintaining and referring to personnel files or special files. Files information in a timely manner and has files pulled when requested.
Operate a variety of office equipment including a computer, fax, copier, scanner and printer.
Use a variety of computer applications and software packages.
Process, verify, maintain and scan documentation relating to personnel activities such as recruitment, supervisory counseling and performance evaluations.
Process applications to ensure timeliness of hiring
Create and maintain job postings
Recognizes and performs duties which need to be performed although not directly assigned; regularly helps out others.
Maintains proficiency in data entry procedures relating to the usage of the Lawson information systems.
Qualifications/Requirements
High School Diploma or equivalent.
Ability to handle multiple tasks with frequent interruptions.
Excellent verbal and written communication skills.
Demonstrated understanding of and strong commitment to customer service orientation.
Must be able to make sound, independent judgments.
Proficient in computer software (prefer Lawson experience) and data entry skills
Computer proficiency and ability to quickly learn new applications.
Ability to coordinate and cooperate with multiple constituencies.
Strong organizational skills
Professional demeanor and recognition of confidentiality
Must be able to read, write and speak English.
