We have an immediate opening for a Human Resources Administrator in our San Mateo, California headquarters. Reporting to the Human Resources Manager , the Human Resources Administrator is responsible for supporting the day-to-day functions of the Human Resources Department in various area, including new hire and term processing, reporting, and company events. This role will require the use of ADP WorkForce Now, Keynote’s HRIS system. This position will be responsible for managing employee personnel files and the reception area. This person will be a valuable member of a highly motivated and professional Human Resources Team!

Responsibilities: The major areas the Human Resources Administrator is responsible for include, but are not limited to:

Human Resources (75%):
HRIS administrator (database input and reporting) – including new hires, terminations, leaves, and promotions
Maintain HR documentation: new hire kits, HR intranet, HR Service Desk, compliance postings
Take the initiative and make recommendations to improve work efficiencies and streamline HR processes and systems
Participate in various HR projects and initiatives throughout the fiscal year
Set up corporate events (company summer picnic & holiday party planning), community giving (backpack drive, holiday toy shoppe, etc.), and safety programs
Weekly personnel & HR file maintenance – create, file, organize, archive
Gather requests for annual audits as needed

Reception (25%):
Point of contact for employee questions - friendly personality is a must!
Receive, sort, and route mail; maintain route publications
Manage travel, shipping, copy, and postage machines/accounts and assist users
Order, receive, and maintain office supplies
Work with the IT department and Caterer to set up monthly company luncheons, biweekly pizza lunches, and biweekly breakfasts
Update and distribute monthly company phone list
Place orders for business cards, letterhead, and ergonomic requests
Manage cube and mailbox labels
Support the Executive Assistant to the CEO & CFO as needed

Bachelor’s degree in Human Resources or related field
Minimum of 1-2 years’ experience in office environment, preferably in Human Resources
Excellent problem-solving, interpersonal, written and oral communication skills
Superb organization and prioritization skills in a fast-paced team environment
Interest in the human resources field and desire to learn is a must!
Ability to maintain confidentiality at all times is critical
Proficient computer skills including MS Office Suite (Word, Excel, PowerPoint) and Outlook
ADP WorkForce Now experience is desired (training will be provided)
Ability to work M-F 8:30 AM to 5 PM and sit at the front desk of Keynote’s third floor lobby while performing regular duties
