Position Summary: Performs professional Human Resources tasks in a variety of HR specialty areas. This role will provide support and coordination for all Human Resources initiatives and processes related to employment, HRIS administration & reporting, recruitment, compensation, benefits, employee relations, training & development and organization development. Represent the Human Resources department by developing positive, collaborative relationships with employees and management in a high performing work culture.

HRIS Systems an General Administrative Duties:
Review, process and maintain physical and electronic HR documents and forms including highly confidential employee records and personnel files, ensuring completeness and compliance with federal and state laws

Maintain and update HRIS databases to track employee information and changes, this includes payroll input, cost center changes, and other payroll-critical information

Track and send notifications of employment changes to appropriate internal and external parties

Prepare various government and company required reports accurately and in a timely manner.

Serve as first point of contact for general human resources related questions regarding HR policies, procedures and benefits.

Become the on-site expert for all HR Systems including the core HRIS system, Benefits Enrollment, Ceridian Time and Attendance, Applicant Tracking System (ATS), On-boarding and Performance Management Systems

Serve as the first point of contact for answering system questions, trouble-shooting systems issues, and contacting the vendor when necessary

Develop and streamline HRIS related processes, including metrics development, report generation

Responsible for running routine query and/or HR related ad hoc reports

Process all HR invoices, bills, tuition reimbursement, Unemployment claims and other paperwork as needed

Process leave of absence requests and paperwork including FMLA, STD, LTD, Jury Duty, etc. through the administration of required applications and advisement letters to employees.

Ensure compliance with all government-mandated employment posters

Maintain OSHA log and serves as main contact for workers compensation and First Report of Injury filings.

Serve as main contact for field employees for vendor credentialing and fleet vehicle needs

Coordinate Employee Recognition and Rewards programs including Service Awards, Recognition Wall, etc.

Talent Acquisition, Onboarding, New Hire Orientation and Employment-Related Duties:

Open job requisitions and maintain job postings and applicant data within the electronic applicant tracking system (ATS)

Coordinate the interviewing process for job applications/resumes including applicant flow, routing resumes, generating response letters, and guiding applicants through our recruitment process.

Support recruitment activities that may include: scheduling candidate interviews, travel/logistical arranges for candidates, reference checks, candidate disposition and reporting and maintenance of Applicant Tracking System

Generate new hire offer letters and coordinate all pre-employment background screening

Monitor pre-employment information and notify new hire, HR team and hiring manager of successful completion

Manage and streamline the temporary and contract labor utilization and ensure appropriate utilization of employment classification

Partner with Talent Acquisition to continuously improve and update on-boarding processes for newly hired employees and ACIST team members associated with on-boarding activities

Coordinate and conduct new hire on-boarding activities

Schedule new hire check-in meetings

Coordinate employee off-boarding activities such as scheduling exit interviews and preparing exit packets

Compile new hire check-in and exit-interview data and track and report on trends

Employee Relations and Performance Management:
Interpret and respond to employee inquiries regarding HR policies and procedures, while ensuring consistency and reinforcing adherence as appropriate. Escalate issues and questions as necessary

Assist in the preparation of performance improvement and disciplinary-related documents and letters

Assist with employee complaints and/or investigations through the preparation of material and evidence for organization to use in internal or external investigations, hearings, lawsuits, audits, etc.

Benefits Administration:
Coordinate and explain company benefit programs to employees

Respond to general employee questions, such as group insurance, sick and vacation leave, 401(k), worker’s compensation and other company offered benefits.

Assist in the annual Open Enrollment process

Responsible for invoice management and monthly reconciliation

Assist employees in investigation and resolution of benefits-related issues

Coordinate Wellness programs and events

Other Duties:
Maintain and consistently update the HR Intranet page including Employee and Manager portals and Org charts

Coordinate the logistics and scheduling for special meetings such as departmental offsite meetings, performance rating calibration sessions, new leader assimilation sessions, training and other meetings as needed

Serve as back up to Office Assistant as needed

Required Skills

Qualifications (Knowledge, Skills & Abilities) :
Minimum:
Bachelor's degree in HR or related field

5+ years of Human Resources experience

Experience working with HR Information Systems

Prior knowledge of principles and practices of human resources.

Proficient use of MS Office including Word, Excel, Outlook and PowerPoint

Experience with software-based systems

Strong written and verbal communication skills and interpersonal skills to effectively translate ideas, concepts and information

Proven ability to improve processes and system efficiencies

Strong customer service orientation and positive, can-do attitude

Ability to handle confidential information with discretion and tact

Ability to anticipate and coordinate multiple projects and assignments in order to meet deadlines

Demonstrated ability to maintain flexibility with regard to projects and changing priorities.

Ability to work both as a part of a team and independently with high degree of accuracy and without immediate and constant supervision.

Problem-solving ability with demonstrated prioritization skills
