Reporting to the Associate Director, the Coordinator is responsible for providing point of "HR" contact and delivering a high level of customer service to faculty, staff and students. The individual will answer phones, greet visitors and respond to general inquiries directed to the HR main line and provide backup phone support as needed. In addition, s/he will review daily the HR email account and respond to or direct to appropriate staff person. This individual will assist with reviewing casual and support staff timesheets for bi-weekly payroll. The Coordinator will ensure proper processing procedures are developed and executed as well as assuring adherence to established University policies. S/he is responsible for updating and managing the who's who on-line staff directory and will assist in the preparation and posting of materials related to recruitment, hiring and provides new employees with basic information related to working at the University. 1. Answers all phones, and greet visitors to HR; provide information and direction to phone and email inquiries; develops in-depth knowledge of Schools' departments and divisions and School's activities as they relate to Human Resources needs; provide support to Associate Director(s) on day-to-day operations and hiring inquiries and transactions. 2. Manages weekly, off-cycle and semi-monthly payroll. Coordinates distribution of live checks, works with the Senior Associate Director to implement procedures compliant with University guidelines; prepares check register. Serves as back up for Support Staff and Casual FFE entry. 3. In consultation with the Associate Director and respective departments, develops and drafts job descriptions for new positions, and updates established positions. Provide level 1 posting for positions on Jobs at Columbia and updates tracking log as needed. Assist with hiring Variable Hour Officers. Assist in screening appropriate candidates as needed. 4. Manages staff on-boarding process; duties include meeting and orienting new staff as well as completing initiator level for FAST entry. Tracks and ensures that all hires complete the required "Doing the Right Thing" workplace harassment online training. 5. Coordinates email and UNI set-up and ID Badge processing requests, implement registration of "class sit in" procedures. Liaises with ITG to ensure smooth data transfer via Who's Who, DIA and other ITG supported systems. Updates staff photos upon request. 6. Provides counseling and administrative support to managers on basic HR related issues, including guidance for the annual performance review. Tracks support staff vacation, personal, and sick time usage and provides feedback regarding trends in staff use of excessive time away. Provides reports as needed. Responsible for quarterly and annual vacation balance reporting via Time off Work for Officers of Administration. 7. Assists with the end of fiscal year upgrade, bonus, promotion and merit increase process. 8. Coordinates temporary staffing hiring and tracking for non-research related positions; obtains reports as needed. Assists with FAST entry for casual hires. 9. Other related duties as assigned

Minimum Qualifications for Grade Applicant MUST meet these minimum qualifications to be considered an applicant

Bachelor's degree and/or its equivalent required. Minimum of 2 years of related work experience required.

Must have strong interpersonal, oral, written and presentation skills. Attention to detail, ability to handle and prioritize multiple tasks and work well under deadlines required. The incumbent must be able to work well independently as well as part of a team and have the ability to exercise discretion and judgment with sensitive and confidential matters is essential. Demonstrated proficiency in computer/technical skills, & Microsoft Office, particularly in the creation of spreadsheets.

Preferred Qualifications

Use of a databases preferred. Prior human resources experience preferred, familiarity with PeopleSoft applications, knowledge of Columbia University HR policies and procedures desired.
