Job Purpose:
Supports and coordinates site HR department functions. Provides effective human resources guidance and support in staffing, performance management, employee relations, orientation, policy/procedure interpretation, and recognition. Maintains HR system/record integrity. Provide administrative support.

Duties:
Coordinate talent acquisition processes.

Global Recognition Site Coordinator for recognition programs.

Coordinates/Conducts New Employee Orientation processes/program

Performs various administrative functions. Maintains HR systems/data bases, records and postings ensuring compliance and integrity

Assists with Performance management and Employee relations (policy/procedure interpretation)

Position Description & Requirements:
Talent Acquisition:
Responsible for contingent workforce. Works with temporary agency representative in placement and separation processes.

Tracks applicant information for affirmative action plan for temp to hire placement. Responsible for AA reporting.

Maintains applicant tracking/for temp to employee placements.

Coordinates drug testing and background checks fir temp to employee placements.

Coordinates core job requisitions with hiring manager and distributes to STAT.

Coordinates non-core job requisitions and enters them into the online requisition approval system

Enters all requisitions into Oracle Req and Vacancy

Enters all new employees into the EE Personnel Action Form for entry into HR system.

Enters and tracks on a database all contingent workers on site.

Maintains the job tracking system for applicants and positions.

Prepares offer letters and packets for new hire for temp to employee placements.

Prepares letters and packets for employee changes (transfers)

Communicates with management on new hire processes (PAR, new employee orientation, job description, etc.).

Attends job fairs, as needed.

Notifies front desk on new hires and contingent workers.

Assists managers with job description and requisition processes.

Coordinates relocation program/process/payments.

Interviews candidates as needed.

Global Recognition/Employee Programs & Events:
Coordinator and promoter of Global Employee Recognition Programs.

Coordinates nominations, works with Site Coordinator to determine recipients, recommends and purchases awards. Runs reports as needed.

Maintains system records for awards.

Employee Club – Participant of the club. Acts as a liaison to HR

Coordinates Living Well and other employee events.

New Employee Orientation:
Prepares materials for orientation.

Conducts first day orientation for new employees; ensures new hire paperwork is completed accurately and in a timely manner, maintains New Hire Orientation packages to ensure accuracy and adequacy, making recommended changes as necessary. Notifies appropriate individuals of new hires. Updates material as needed.

Responsible for the integrity of the I-9 process/forms.

Sends and tracks ISO required New Hire Supervisor’s Checklist.

Monitors job descriptions returned at hire and transfers.

Administrative & Systems/Record Maintenance - Integrity

Coordinates meetings, travel and hotel accommodations as needed.

Processes invoices and expenses.

Orders/maintains necessary supplies, forms, etc.

Prepares a variety of correspondence and reports. (Quality, AA, monthly, etc.)

Performs related tracking and procedures to ensure all actions occur. Giving campaign, updating procedures and forms, etc.

Greets visitors/stakeholders to the department, assists with their requests and/or refers to appropriate staff member.

Prepares and distributes site communications as needed.

Responsible for HR postings and all employment related poster requirements.

Runs reports as needed. Prepares reports for site meetings (Quality, facilities, monthly HR report, etc.)

Maintains approved contingent worker and approved vendor contracts.

Maintains manager distribution email list for site.

Responsible for the integrity and maintenance for HR systems (Pathfinder, Oracle, Globalview, etc.)

Coordinates job description, titling and grade process. Enters exempt job descriptions into Pathfinder Database for approval and grading. Creates and processes titles. Maintains job descriptions in site folder.

Monitors ethics training reports and maintains compliance.

Initiates appropriate paperwork for system changes (titles, supervisor, promotions, salary, etc.)

Timecard approver for certain situations (leaves, outstanding, etc.)

Assembles and maintains personnel files and records. Assists with annual file purge according to Record Retention Policy.

Key data additions, changes and deletions.

Interprets source documents and personnel action forms to determine appropriate transaction entries required. Confers with document originators.

Provides system audit of data entry done by users.

Assists with annual Performance Review tracking

Performance Management – Employee Relations:
Coaches managers on policy/procedure interpretation.

Assists manager with coaching/disciplinary action letters.

Conducts internal investigations, as needed.

Coaches and assists managers with Performance Improvement plans.

Maintains Local Policies and Guidelines. Coordinates Handbook updates/roll outs.

Coordinates reasonable suspicion/post accident drug screening process.

Distributes Amex warnings as needed.

Drafts separation/severance letters and agreements and prepares packets for separating employees.

Conducts separation meetings and conducts exit interviews. Coordinates data and communicates issues/trends.

Coordinate Unemployment responses.

Coordinate employee engagement surveys and processes.

Coordinated exempt and non-exempt performance review process.

This position

is required

to assure compliance of Company operations to all applicable laws, regulations and standards, good business practices and company documented procedures (including but not limited to FDA, Quality Systems Regulations, ISO 13485, ISO 14001, government occupational health and environmental regulations and statutes).

Technical Knowledge and Skills:
Required: Bachelors degree in human resources or related field with 5 -7 years of experience supporting HR-related processes/programs of which 2 years were in a HR generalist role (employee relations, performance management, etc.)

Or equivalent experience.

Current knowledge of federal and state laws and regulations.

Strong background in HRIS and Microsoft Office package (Excel, Word, PowerPoint, Outlook)
