Level 1 - Space Management & Facilities Assistant

Additional Position Information:

Position Overview:
To perform space planning, design and coordination of day-to-day moves and small space reconfigurations or small group moves and support Facilities operations activities primarily in support field locations. This Workplace Services Technician 1 is in Facilities Operations (NWF) organization, located in the Seattle offices.

This position is open to Foreign National candidates.

Position Responsibilities include but not limited to:

Coordinate day-to-day moves, workstation adjustments, and furniture changes.
Plan, design and closeout completed work in accordance with standard policies and procedures, including using automated systems (e.g. Microstation design tool, Projectwise, Bentley Facilities Planner, BARS, and Service Connection, furniture inventory).
Participate as a member of both the Facilities Operations and Space Management teams, coordinating and communicating individual assignments with management and other team members.
Participate in various space management and facilities projects and initiatives in support of program, service delivery, and process improvements. Participation may be as a project team member, subject matter resource, project coordinator, etc.
Assist Space Management/Facilities with:

complex office moves and reconfigurations
coordinating space related support for Facilities projects (e.g. temporary furniture removal in support of carpet and paint upgrades)
various research efforts, such as furniture inventory
lease acquisitions, renewals, and maintenance activities as needed.

Position Requirements:
Education/Experience Requirements

High school diploma or GED required
Associate Degree or higher college degree in Interior Design or a related technical discipline is preferred. At a minimum, interior design-related college coursework is desirable.
Minimum Experience Requirements: This is a Level 1 Position - .5 - 4 years previous directly-related experience is required

General Skills Requirements:

Experience with Microsoft Office Suite Software including Word, PowerPoint, Excel, and Outlook; (MS Office 2010 proficiency required).
Proven skills in space planning, design and coordination of day-to-day individual office moves, small space reconfigurations or small group moves.
Experience in managing commercial leases and communicating with landlords, as well as coordinating service providers that perform facility maintenance activities (e.g custodial, heating & cooling, electrical, lighting, plumbing, etc.)
Some demonstrated experience in office space design drafting and plotting. Microstation experience preferred, but Auto CAD or other design software experience will be considered.
Ability to coordinate across service provider groups/functions (e.g. movers, phone, network, IT desktop, facilities) to complete moves and workstation adjustments and reconfigures.
Experience working with floor plans and able to create proposed workstation/workspace layouts and to discuss space layouts with clients.
Ability to learn furniture systems for designing and laying out workstations.
Ability to learn space design systems and procedures including ability to follow standard layout designs and drawing standards (as set by the Space Management group).
Ability to learn service request and workflow management systems.
Ability to work independently and effectively under the pressure of high volume, time sensitive work with frequent interruptions, changes in priorities.

Travel to field locations (overnight travel) up to 30%
OT may be required up to 2%
Possess a Valid State Drivers License
Position requires work in and around energized facilities (Access Permit required).

This position may be eligible for situational offsite work, subject to the completion of a Supplemental Labor Offsite Work Memorandum of Understanding.

Continued success in position will require satisfactory completion of internal OJT, including but not limited to:

Access Permit

Access Permit
This permit allows unescorted access into, out of, and movement within energized facilities for the purpose of observation only, by persons who have received appropriate instructions, training and demonstrated a level of understanding necessary to safely move about within energized facilities. Access permit holders may only perform work when escorted by someone with the appropriate level permit for the work being performed.

Examples: Electrical or Structural Engineers who need to look at a facility occasionally or Project Managers who need to visit a facility

The minimum requirements for this permit are:

Need for unescorted access and movement within energized facilities for observation only.
Knowledge and understanding of the BPA Rules of Conduct Handbook, part 1.
NERC-CIP training.

Minimum rules governing the conduct of the permit holder while in energized facilities:

May perform observations only, must remain on the ground at all times and shall not violate the applicable Minimum Approach Distance (MAD).
May perform work when escorted by a person permitted at or above the level for the work to be performed.
Adhere to all safety requirements and substation security policies as provided by the Rules of Conduct Handbook, part1.

To obtain or renew this permit:

The applicant is required to know and understand the Rules of Conduct Handbook, part 1. The applicant must schedule the Access Permit Exam with a District Chief Substation Operator or designee who will administer the permit examination.
The applicant is required to schedule the Substation Electrical Hazard Awareness Tour (SEHAT) with a District Chief Substation Operator or designee who will conduct the tour.
Complete an Application for Energized Facilities Permit form 6500.11e. The form must be signed by the Substation Operations-approved responsible work group manager, the Supplemental Labor Management Office COTR, and sent to the Substation Operations Group for verification and processing.
The Substation Operations Group, (TOZ), will review and verify the submitted information.
