· Greets visitors and redirects phone calls ensuring a positive image of the company is portrayed. Assists with facility related tasks coordinating small upkeep and maintenance within the building, including office copiers, maintaining office supplies, keeping copy rooms and kitchens neat and orderly, distributing mail and assisting with the invoicing process. Responsible for keys and door locks. Â
· Responsible for general office duties - filing,copying, faxing, scanning, mailing and data entry. Â
· Coordinates meetings and updates calendars and schedules. Â
· Prepares coorespondence from rough draft through distribution. Â
· Provides phone coverage for managers and office personnel as requested. Â
· Responsible for procurement of office supplies and assists with tracking associated costs. Â
· Ensures confidential handling of all business. Â
· Greets visitors upon arrival. Â
· Handles incoming and outgoing postal mail, FedEx/UPS shipments and routes incoming and outgoing internal office mail as appropriate. Â
· Handles sign in log and security requirements. Â
· Processes telephone requests and changes. Â
· Directs routine office services vendors as appropriate. Â
· Handles routine maintenance requests as they relate to office equipment and the facility. Â
· Serves as back up to other administrative assistants. Â
· Formats and edits various documents and prepares weekly or monthly reports. May work with UCNI and OUO documents. Â
· Arranges travel through internal or outside agents, prepares itenerary, trip file and supplies and completes expense reports for trip. Â
· Updates and chases delegated tasks to ensure progress to deadlines. Â
· Handles catering needs. Â
· Stops work without fear or reprisal for unsafe conditions potentially affecting personnel safety or environmental risk. Â
· Performs other duties as assigned.
Job Requirements Â
· Strong orientation for internal and external customers. Â
· Excellent verbal and written communication skills Â
· Proficient with Microsoft Office
Minimum Qualifications and Years of Experience Â
· Education: High School diploma or equivalent experience Â
· Experience: 2 - 5 years experience in an Administrative Assistant position Â
· Certifications: None required
