Incumbent serves as the Office Manager for the International Students & Programs Office (ISPO) within the International Center. Responsibilities include management of the Center’s high-volume front office and reception area, ensuring efficiency, accuracy, and excellent customer service. Provide a variety of administrative support services and assist with advising operations within the office. Also, will provide administrative support for the ISPO Director and assist with special projects as needed. Provide referrals and general information about UC San Diego, and the International Center, to incoming international students and their families. Set appointments, manage flow of incoming applications/documents, and provide support for record reconciliation projects and programs/events coordination with particular emphasis on those targeting international students and their families.
Manage student registration operations inputting pertinent information into fsaATLAS. Assist in the coordination of reservations for the multi-purpose facility operations ensuring accuracy of complex online facility scheduling needs for 1,000+ annual events at the International Center. This position will coordinate and execute supply purchases/distribution, travel/general reimbursements, and occasionally handle cash/serve as cashier for center wide events. Incumbent will also hire, train, schedule, and provide work direction for front office student assistants. Serves as the designated timekeeper for student employment and payroll actions within the unit. Position requires ability to be proactive, multi-task, establish priorities, and use creativity in a fast-paced and changing environment with constant deadlines.

Experience in living and/or working abroad and working with individuals who are second language learners of English.
Demonstrated ability to work with international students and their families. Ability to understand complex immigration regulations and stay abreast of changing policies
Proven ability to work efficiently in a busy, service oriented office with frequent interruptions and varied work assignments. Skill in customer service to include assessing, understanding and exceeding customer needs.
Demonstrated ability to hire, train, supervise, and schedule work of student front office assistants.
Demonstrated ability to appropriately handle cash and inventory according to strict policies and procedures.
Proficient in Microsoft Office suite applications. Demonstrated skills and knowledge in website content writing, technologies, and current approaches to increase user access and functionality.
Demonstrated experience in event management and online reservation systems related to facility operations. Experience in preparing, monitoring project budget expenditures while employing cost-saving measures.
Superior communication skills, verbal and written, with ability to interact in a positive team-oriented manner. Knowledge of correct English grammar, spelling, punctuation and usage, and ability to compose/edit correspondence utilizing appropriate formats.
