The IT Vendor Manager implements and manages a comprehensive, disciplined vendor and asset management program for Yusen Logistics’ technology components. This includes the acquisition process (RFP management, vendor selection and onboarding), asset lifecycle process (physical tracking, usage and defect tracking, refresh management), and cost management (advantageous cost and terms negotiation, internal budgetary allocation, and future budget planning for maintenance and replacement). The IT Vendor Manager is responsible for vendor performance management including scorecard development and review of performance metrics, and relationship management, including governance and issue management. The IT Vendor Manager provides product and service purchasing guidance for the IT department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The IT Vendor Manager is responsible for asset and vendor management activities for YLA IT technologies.
Ø Vendor and Asset Strategy
a. Establishes a framework for evaluating and selecting vendors, measuring vendor performance, and addressing performance issues.
b. Develops and implements processes and tools to ensure IT assets used throughout the company are tracked, life expectancies are plotted, costs are aligned to appropriate business budgets, and refresh costs are factored into capital budget forecasts.
c. Identifies opportunities for utilizing managed services to improve service and decrease total cost of ownership for key IT technology components.
d. Develops and manages asset refresh schedules, based on asset life expectancy policies the IT Vendor Manager develops with IT Management.
Ø Vendor Management
a. Issues RFP’s; establishes evaluation criteria; evaluates vendors and makes selection recommendations to management; negotiates Master Service Agreements, Statements of Work, and purchase contracts including appropriate terms of support and maintenance for management and Legal approval.
b. Proactively prepares for contract renewal negotiations. Ensures only needed services at the required level of delivery are purchased.
c. Identifies opportunities for achieving economies of scale through vendor consolidation, for leveraging the buying power of YLA’s various divisions and for cost-savings from elimination of overlapping services
d. Conducts quarterly reviews of key services (e.g., telecommunications service utilization including data circuits, voice circuits, cell phones and air cards), licenses (e.g., software license), and maintenance agreements (e.g., software maintenance utilization) and makes termination, reallocation, and/or reduction or increase recommendations as appropriate.
e. Maintains Vendor and license databases.
Ø Asset Management
a. Solicits vendor quotes from multiple vendors; ensures asset meets documented requirements and is acquired at competitive pricing.
b. Following YLA and IT purchasing guidelines, acquires assets and facilitates payment of associated invoices
c. Tracks assets through end of life.
d. Ensures appropriate budgetary allocation of assets.
e. Provides management visibility into asset usage and budgetary allocation.
f. Ensures unused or underutilized assets are removed from service and maintenance, reallocated and/or replaced with more cost-effective alternatives
g. Provides monthly purchasing forecast, including projected refresh rate based on asset end-of-life) and identifies variances in purchasing forecast against actuals.
Education and Experience: Bachelor’s degree in relevant field or equivalent and 5 plus years vendor management (vendor or client side) experience, including experience in vendor selection, contract negotiation and management, asset management, and relationship management. RFP (Request for Proposal), MSA (Master Services Agreement) and SOW (Statement of Work) process management experience required.
Experience with software licensing, hardware procurement, and telecommunication services strongly preferred
