Support CarMax Auto Finance Legal Team by providing administrative support involving:
File Organization and database maintenance (includes LITMS)
Responsible for department scheduling and managing all Travel and T&E requests.
Assist with Budget Preparation and monthly tracking/reconciliation.
Prepare various invoices for payment processing.
Preparing Correspondence; managing incoming and outgoing mail.
Special Projects as requested.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Ensure that incoming mail is sorted and disbursed to all legal department associates daily.
Schedule meetings as directed by department attorneys.
Arrange for travel as requested by department attorneys.
Submit T&Es to Concur within 24 hours of receipt of travel expenses from legal department associates.
Assist with budget preparation as directed by supervising attorney.
Track and reconcile budgeted items on a monthly basis as directed by supervising attorney.
Prepare various legal department invoices for payment processing.
Manage the submission of all legal department equipment requests as directed by department attorneys.
Open, close, retrieve and manage all legal files as requested by department attorneys.
Responsible for entry of all items added to department database. (LITMS)
Manage and maintain the legal library.
Maintain paper and electronic filing systems as directed by legal department associates.
Prepare reports, correspondence, transcription and other documents for legal department associates.
Respond to subpoenas and other legal requests as directed by supervising attorney.
Perform other duties as may be assigned by supervising attorney.

Minimum 2 years previous experience in an administrative role.

EDUCATION and/or EXPERIENCE:
High School Diploma required.
Proficiency in Word, Excel, Lotus Notes, Power Point, as well as excellent typing and computer skills are required.
Experience in a legal environment is preferred. Internet legal research skills are a plus.
Strong written and verbal communication skills to effectively communicate with associates, all levels of management, outside counsel, opposing counsel, and regulatory authorities.
Ability to comprehend and apply basic mathematics and understand client analysis and reporting.
Strong analytical and reasoning skills required in connection with accurately assembling, organizing and maintaining information to support the legal department.
