The Opportunity

To assist all team members in the following categories: Filing, various department correspondence, photocopying and scanning for team support staff, following up on attending physician reports for Case Manager, following up with carriers for back up information to for team Policy Services Specialist and all general administrative duties including the CRM and ACT Databases. May be asked by Team Managing Director to work on specific projects, and also functions as Administrative Assistant to specific producers.

Team Administration:
All Team filing – to be done on a consistent and timely basis

Computer skills – know Excel and Word specifically

CRM and ACT database maintenance for practice leader and producers

Phone answering back-up for producers

Various spreadsheet requests

Photocopying, scanning and general assistance to team support staff when needed

Sending out of team mailings and anniversary letters

Sagitta input when asked by Case Manager for assistance for all producers.

Coordinating and follow-up on State Producer Licenses (Life department)

Maintaining data for Life Producer association memberships

Administrative Assistant Duties to specific producers:
Answering telephones and taking messages

Making appointments and coordinating schedules

Correspondence to be completed as requested by producers

Spreadsheet work when requested

Sort mail that comes into in-box. Distribute internal confidential envelopes and overnight packages as soon as it arrives.

All general administrative functions on an as needed basis for specific producer the team assistant may be assigned to.

Assistance on new business for various producers for smaller cases – under the guidance of the Case Manager.

May assist Team Managing Director and other producers in carrier illustrations/quotes.

Experience with Microsoft Office; strong Excel and Word skills needed; experience with ACT a plus

Strong written and verbal communication skills.

Strong attention to detail.

Strong organizational skills.

Ability to multi-task and re-prioritize frequently is critical.

Ability to learn quickly and take direction from multiple individuals.
