Responsible for opening, sorting, and distributing all incoming DNR mail: (i.e., open, date stamp, sort, and deliver to appropriate mail areas twice daily). Pick up and deliver mail twice daily from 3rd, 4th and 5th floors. Receive, sign for, and notify appropriate staff regarding special deliveries including United Parcel Service and Federal Express.

Assist with the daily processing of all outgoing mail including United States Postal Service mail, United Parcel Service, Federal Express, local mail and weekly field mail which is collected, sorted and then distributed to over 230 DNR locations statewide. Coordinate Air Quality Bureau field mail delivery with designated courier service on a daily basis. Determine the most economical method for outgoing shipments. Monitor mail practices of DNR staff and report any inconsistencies immediately to supervisor or other appropriate staff. Process all mail according to established DNR procedures, as well as state (Department of Administrative Services) and federal regulations.

Maintain day to day operation of the mailroom. Responsible for keeping abreast of current changes in federal postage rates and regulations, state mailing procedures, rate and zone charts. Draft new mail procedures as necessary and ensure that information is communicated in a timely manner to appropriate staff. Research and make recommendations for equipment repair and new equipment required to operate the mail room in the most efficient manner. Troubleshoot issues with missing or improperly delivered mail. Prepare monthly reports to document activity and to demonstrate accountability. Work with DNR staff to update and maintain current address lists for all field staff. Communicate address changes with data entry staff to ensure labels reflect the updated staff assignments and field locations. Coordinate with supervisor for appropriate back-up coverage and train back-ups and temporary mail room employees, as needed.

Process daily incoming cash and check receipts which annually total over 20 million dollars; (i.e., run adding machine tape, prepare daily log sheet, and deliver to cashier’s office each afternoon). Secure all incoming receipts in the locked cash box while in the mail room and store in the locked License storage area overnight. Participate in regular update meetings with supervisor as required. Perform other duties as assigned.

Minimum Qualifications
One year of work experience in mail processing work.

ABILITIES AND SKILLS: Ability to read, write, and speak the English language; ability to oversee the personnel and processes involved in a mail processing unit; ability to follow oral and written instructions; ability to learn the methods of handling, sorting, and distributing incoming mail and the processing of outgoing mail; ability to understand, use, and maintain directories, guides, and references related to state and federal postal rules, regulations, and changes; ability to use related office equipment required in job assignment; knowledge of simple records maintenance; ability to lift and carry heavy mail bags, boxes, and packages up to 60 lbs in weight; ability to use a personal computer at moderate level (Microsoft Office Suite, Outlook, Internet, Simple Databases); ability to establish and maintain effective working relationships with management and other DNR staff, including co-workers; capacity to adjust to change, work pressures or difficult situations without undue stress; ability to work independently as well as in a team environment; must demonstrate initiative, a customer service orientation, and display high standards of ethical conduct; position is a full-time position and as such, requires regular and punctual attendance.
