Mail Clerk is responsible for a variety of duties related to the support center’s mailing distribution and courier processing needs. The Mail Clerk may also perform customer service duties and projects related to departmental requests for assistance. Must be capable of working unsupervised and have the ability to adapt to new processes and procedures which affect the work they do. Computer knowledge and ability to learn technology related specifically to mailing and shipping processes are required.

Receive, sort, process and deliver incoming, outgoing, interdepartmental mail and overnight packages to appropriate recipient.

Process outgoing mail according to USPS rules and regulations and deliver to post office.

Operate mail metering machines, Xerox copy machines and other electronic equipment.

Receive and process incoming and outgoing accountable mail and packages, i.e. certified, express UPS and parcels according to policies and processes.

Mail Clerk is also responsible for completing administrative tasks assigned by the Supervisor.

Must be capable of lifting up to 50 lbs.

Must be capable of standing for periods of time.

Must be able to push mail vehicles, i.e. carts and dollies.

Must complete all tracking of incoming and outgoing certified/insurable mail and courier packages for signature and proof of receipt.

Investigate “mystery” mail and determine proper distribution.

Investigate “suspicious” mail, notify supervisor and determine proper handling or distribution.

Assist individual departments with preparation of mail, courier services, assembly, copying, scanning and other projects as assigned.

Keep employee seating by floor current on mail route.

Must keep mailroom and copy areas clean and orderly at all times.

Provide daily service to replenish copier paper, copier supplies and other office supplies for each copy/mail room on all support center floors.

Receive and sign for overnight/priority packages from UPS, Fed-Ex, USPS, etc.

Pick up mail from main collection points on each floor at specified times.

Assists with daily record keeping such as assigning postage from metered mail to a specific department or account code and maintain volume log.

Monitor, deliver and replenish Sysco supplies to all kitchenette areas on all support center floors.

Provide back-up switchboard coverage as needed.

Will be cross-trained in all aspects of the Mail Center and switchboard operations.

Ongoing training for professional growth and development.

Work extended hours when necessary.

Full time possible.

Perform other duties as assigned by the Supervisor.


High School diploma or GED required

Basic computer skills, Microsoft Office and Excel recommended

No prior experience required, but helpful

Skilled in following both verbal and written instructions.

Skilled at communicating processes performed to individuals and feedback given to supervisor on a daily basis.

Professional appearance

Excellent customer service skills


Ability to meet constant deadlines and duties performed in a timely and efficient manner.

Capable of working in a fast-paced environment.

Self-motivated and ability to work unsupervised.
