BASIC FUNCTION:
The Mail Clerk is responsible for performing daily tasks and duties required for accurate and timely distribution of incoming and outgoing mail.

ESSENTIAL RESPONSIBILITIES:
Open, review and sort incoming mail (except that marked as “Confidential or Private”)
Ensure that incoming checks, money orders, and drafts are delivered to accounting in a timely manner.
Accurately distribute and deliver incoming mail to a variety of locations.
Ensures outgoing mail has proper postage and is distributed appropriately.
Coordinate pick up of outgoing mail with appropriate courier(s)
Communicate changes and or exceptions to outside mail courier(s)
Retrieve mail from post office, when warranted.
Proactively communicate directly to the supervisor any problems or issues that may adversely impact a client or the company
Maintain register and reports monitoring postage/courier expenses
Monitor postage and request replenishment when appropriate
Examine item/materials for legibility and take appropriate action to ensure accuracy of documentation
Prepare labels or reports as requested
Ensure required data entry into company and vendor software is done timely
Implement changes as requested
May provide additional administrative support to other departments within the office
Adheres to company policy and procedures.
Processes transactions in order to meet all quality and timeliness standards

QUALIFICATIONS:
Less than high school education; or up to one month related experience or training; or equivalent combination of education and experience. In some cases, no prior experience or training is required.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
To perform this job successfully, an individual must have knowledge of office operations and document management.
