The Data Clerk assists the Maintenance & Repair Operations Specialist to ensure prompt and accurate data entry and retrieval through the department Computerized Maintenance Management System (CMMS). Provides reporting on all submitted materials purchase orders, as well as inventory audits. Maintains daily status reports for parts on order and material quotes. Provides information to field technicians as needed regarding material status.
•3-5 years of experience in office administration utilizing data entry skills.
•Proven organizational and time management skills.
•Ability to communicate both written and verbally to effectively communicate with various levels of the organization.
•Minimum of 3 years of experience utilizing Microsoft Office products.
•1 - 2 years of Database Management (e.g. CMMS).
•Ability to write reports, business correspondence, and interpret building materials for general maintenance.
•Ability to define problems and collect data, establish facts, and draw valid conclusions.
Critical Job Duties
•Enter and retrieve data as vendor/part records through the department CMMS.
•Maintain daily status reports of all material purchases on order and material quotes for projects.
•Conduct weekly and monthly inventory and stocking audits of materials management system.
•Works with Maintenance & Repair Operations (MRO) Specialist on materials management processes.
•Provides information to field technicians and Project Engineer as needed regarding material order status.
•Responsible for reconciliation of credit cards, vendor invoicing, and materials purchase orders, as well as Monthly Inventory Statements to Accounting.
•Answer main phone line and direct thru appropriate channels to solve customer issues.
•Maintain historical database within CMMS on materials inventory and equipment repair history.
•Receive, stock, and issue parts daily to technicians in order to complete their work in a timely and efficient manner.
•Approximately 5-10% of this position’s weekly responsibilities may involve pickup and delivery of materials from vendors, utilizing a pickup or 20-foot box truck. Must have up-to-date automobile insurance, valid driver’s license and good driving record.
•While performing the duties of this Job, the employee is regularly required to reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
•Complete other administrative duties as assigned.
