Management Assistant to the Assistant Chief Immigration Judges (ACIJs) in the Office of the Chief Immigration Judge (OCIJ), Executive Office for Immigration Review. The ACIJs are responsible for providing advisory services and legal counsel to the Chief Immigration Judge on the management and administration of the Immigration Courts nationwide. In addition, the ACIJs are responsible presiding at formal, quasi-judicial hearings to determine the issues arising in removal proceedings.
Receives requests from Immigration Courts nationwide for information regarding OCIJ’s program. From available background data, assembles requested information and handles request in a timely fashion. This includes advising field personnel on procedures to be followed in completing training requests, travel vouchers, personnel actions, leave charts, award recommendations, and other administrative matters. Material is then prepared for use of ACIJs for cities under their responsibility. When vouchers are received from Immigration Judges and Court Administrators, administrative review for accuracy and compliance with federal travel regulations is performed on each voucher by incumbent before approval is secured by ACIJ.
Maintains a large volume of files, including all subject matter filed, in addition to city files for those Immigration Courts falling under the responsibility fo the ACIJs to whom assigned.
Receives telephone calls from high level government officials, attorneys, Immigration Judges, and the general public. On own initiative, composes replies to inquires and answers inquiries in conformity with Departmental and office policies and procedures.
Makes all appointments for the ACIJs, maintaining all calendars, time commitments, notifying participants of conference arrangements, collecting background material, and gathering pertinent and relevant material for the use of ACIJs.
Handles all travel arrangements for the ACIJs, plans most economical and time-saving routes; makes all hotel and transportation reservations. Upon staff’s return, prepares all travel vouchers and keeps accurate records of reimbursement.
Conducts basic research for the ACIJs; collects, organizes and maintains statistical information concerning field office activities and prepares reports as required.
Provides administrative support to the Unit Chiefs in the administration of OCIJ.
- Effective communication skills both written and spoken
- Computer literacy, Microsoft office and data entry experience
- High school diploma or Bachelor degree preferred
- Must be detail oriented, dependable, and able to do routine work
- Five or more years of administrative or general office experience
- Ability to pay attention to detail
- Ability to lift 25 lbs.
- Ability to successfully complete an extensive government background check
- US Citizenship
