Manager of Mailing Services

Manage Mailroom & Receiving personnel in all areas including hiring, performance management and retention

Effectively and efficiently oversee all Mailroom and Receiving operations and ensure quality assurance and service levels are consistently met

Oversee efficient Academy mass mailing processes and accurate collateral inventory and fulfillment.

Regularly review internal processes and recommend strategies to reduce Academy mailroom costs; implement cost savings programs and procedures to increase efficiency.

Foster professional, productive, efficient and safe working environment in accordance with company and departmental policies and risk management.

Manage and monitor performance of Academy Mailing Services Department 3rd party vendors, including (but not limited to) Admail West, Neopost, USPS, UPS, DHL, FedEx, King Courier, etc.

Prepare annual Mail Services budget by forecasting equipment purchase and repair and projected postage required; monitors projects and operations in regard to progress and cost.

Manage ongoing daily database automatic letter and email generation processes

Manage the invoice process for all vendors, ensuring accurate billing to the appropriate department

Maintain accurate documentation of in-house procedures / manuals

Serve as back up department driver as needed (Drive an Academy vehicle to AAU facilities as needed.) Must have a valid CA class “C” Driver’s License and be approved by the Academy Insurance carrier to drive an AAU vehicle.

Other duties as assigned by COO and Academy Management Team


Bachelor’s degree with minimum of 2 years of personnel and operations/logistics management experience
Savvy with databases and technologies to enhance productivities and service levels
Must be able to thrive in a fast paced, deadline-driven, dynamic and ever-evolving environment
Strong time management and organizational skills; Ability to execute multiple projects in a timely and accurate manner
Excellent follow through and organization skills; Exceptional attention to detail
Proactive, analytical and exceptional problem-solving skills required
Excellent in written and verbal communication and interpersonal skills; Superior customer service skills
Positive attitude and strong interpersonal skills
