Manager of Support Staff
POSITION SUMMARY
Responsible for providing ongoing professional supervision to assigned service staff including, orientation, evaluation, and performance. Oversees client plan of care for families of assigned staff. Develops ongoing communication network with referral sources in all counties served. Oversees training, supervision, and interpretation of all assessment tools.

PRINCIPAL JOB DUTIES AND RESPONSIBILITIES
Essential job functions / listing all physical and mental demands of the job are as follows:
  • Assure quality of service provision while protecting integrity and respect for families served
  • Provide Supervision of assigned staff as determined per policy and State contract
  • Provide identified skill development to assigned service staff to continuously improve performance quality
  • Provide direct supervision of Crisis Programs:
    • Progress notes reviewed with emphasis on ensuring adequate case coverage, timely case openings and closures, productivity, and provision of appropriate services
    • Responsible for reviewing and maintaining approved caseloads and hours for assigned staff per policy
    • Family Goals and NCFAS reviewed on an ongoing basis
    • Responsible for upload and monitoring of NCFAS
    • Referrals to other resources reviewed and follow-up tracked
    • Provide guidance to assigned direct service staff on use of curriculum, appropriate techniques and methods to use with families, and information on community resources as needed
    • Provide guidance on areas of possible growth, boundary issues, and professional development with assigned direct service staff
    • Maintenance of appropriate timelines and documentation per policy
    • Address staff issues and concerns, including documentation and productivity, as well as any cultural, ethnic, racial, or linguistic issues or concerns
    • Supervision meeting bi-weekly with staff
  • QA Charts as needed
  • Maintain Complete and up-to-date supervisory logs for all assigned staff
  • Perform 3 to 5 customer service calls of assigned staff per week to clients and/or DCS workers
  • Communicate program issues and performance Improvement issues with Director
  • Assist in reviewing all referrals with emphasis on matching family needs with staff skills/experience, maintaining staff caseload guidelines, and maximizing location/travel productivity
  • Appropriately follow problem solving policy and address complaints and problems within 24 hours
  • Maintain availability for emergency/crisis intervention 24 hours per day, 7 days per week by carrying and responding to phone calls, voice mail, email, and text as per policy
  • Assesses the training needs of assigned staff on an ongoing basis and ensure the provision of formal or informal training
  • Responsible for being present in the office during regular business hours for office coverage, or coordinating with the Management staff
  • Complete and administer performance evaluations for assigned staff within designated time frames per policy
  • Conduct trainings and meetings, including provision of meeting agenda/minutes and maintenance of sign-in sheet
  • Attend Community or networking meetings as requested
  • Train new team members as assigned on all aspects of position: complete Orientation Checklist with each new employee as assigned within 60 days of hire
  • May provide back-up coverage for direct service provision as requested by the Director; refer to position descriptions for Home-Based Therapist
  • Assist with program promotions through public relations and marketing events
  • Provide daily support and crisis management for assigned staff and families
  • Maintain a working knowledge of parent-child interaction and child development, the dynamics of abuse and neglect, and demonstrate skills in using materials related to these topics
  • Demonstrate ability to apply therapeutic skills and continuing motivation to learn new skills
  • Demonstrate familiarity with community resources and possess skills to identify and utilize these resources
  • Prepare required summaries, reports, documentation, and other necessary paperwork required by the program and/or requested by the referral source in a timely manner consistent with policy
  • Follow organizational policies and procedures and State laws pertaining to use of car seats and the transportation of children

Additional Job Duties:
  • Perform other duties as assigned by the supervisor or Director
  • Responsible for the return of all equipment and materials provided by Family Focus, Inc
  • Must respond to emails and voicemails in a timely manner

Manager of Support Staff

Education:
  • Masters degree in social work, counseling or psychology
  • At least three years of experience providing services to families and children
  • A current license issued by the State of Indiana Social Work, Marriage and Family Therapist, or Mental Health Counselor Board, as one of the following: Clinical Social Work, Marriage and Family Therapist, Mental Health Counselor
  • Knowledge of family of origin/intergenerational issues, child abuse/neglect, child and adult development, and community resources required
  • Knowledge and familiarity with grants and grant writing, preferred
  • Ability to oversee and understand quality improvement
  • Strong customer service and leadership skills required
  • Has served as a part of a management team and worked with a not-for-profit agency, preferably with a human services agency
  • Availability to work varied shifts, including evenings, weekends, and occasional holidays, required

Experience/Knowledge:

  • Good punctuation, spelling, grammar and attention to detail a must
  • Strong interpersonal skills are essential
  • Computer experience, including familiarity with spreadsheet and word processing applications required
  • Must be capable of operating basic office equipment, i.e., computers, printers, copiers, fax machines, etc
  • Experience with grant funded programs preferred

VEHICLE REQUIREMENTS:
  • Reliable transportation and valid Indiana drivers license
  • Proof of automobile insurance of a combined single limit of $300,000 split limit bodily injury of $100,000 per person, $300,000 per occurrence, and property damage of $25,000
  • A clear driving record which indicates an unrestricted drivers license with no more than three (2) seat belt violations in 12 months, or no more than 3 moving violations in the past 12 months and no DUIs/DWIs within the past 24 months and no major violations, (i.e., those which assign six (6) or more points with the State Motor Vehicle Record Office within three (3) years prior to date of hire or date of records check

Work Environment:
  • May work varying/flexible shifts which may exceed eight (8) hours and which may include evenings, weekends, and/or holidays
  • On call 24 hours a day / 7 days per week
  • May work within clients home
  • May be exposed to alternate living conditions, extreme temperatures, poor ventilation, infectious diseases, disoriented or agitated clients who need to be calmed
  • May be exposed to wet and/or humid conditions, extreme cold, or extreme heat
  • May be required to drive in various weather conditions
  • May be exposed to various noise levels
  • Must be able to lift up to 30 pounds, bend, stoop, sit for periods of time, and stair climbing

Other Requirements:
  • Per grant requirements all employees must pass the following background checks:
    • Finger Print Based- National Criminal History (includes Indiana State Juvenile History) background check
    • Indiana State Limited Criminal check
    • Sex and Violent Offender Registry check
    • Local Police/Sheriff records check
    • Child Protective Services History check
  • Physical examination
  • Drug Screen (pre hire and randomly)
  • Maintain Customer service standards at all times including while functioning under pressure
  • Ability to be culturally sensitive and appropriate
  • Responsible for consistently protecting confidentiality of all clients, employees, and agency records
