The managing clerk advises litigation attorneys on federal and state procedural issues and manages various calendars for the NYC office. The managing clerk reviews all court filings and litigation documents; calculates procedural deadlines and enters dates in MA3000, the firm wide calendaring system; and acts as a primary resource for questions regarding court procedure. This position requires a high level of motivation, flexibility and initiative. The successful candidate must exhibit a positive attitude and a willingness to help.

Responsibilities :
  • Daily coordination with lawyer services to obtain copies of court documents, provide service of process and filing of documents
  • Review court notifications, correspondence and NY Law Journal and extract relevant dates to be calculated, updated and entered into MA3000
  • Answer questions from attorneys regarding court calendaring, civil procedure and individual judge’s rules in state and federal cases
  • Travel to court to file documents and attend hearings
  • Monitor, analyze and document changes in court rules
  • Accurately and in a timely manner serves and files all court related documents, whether manual or electronic with various state and federal courts
  • Prepare calendar reports and provide daily reminders to notify attorneys of upcoming deadlines
  • Insure pleadings and court filings are in proper form and in compliance with court rules and protocols including applicable fees
  • Record all litigation documents in MA3000 and calculate procedural due dates
  • Responsible for knowledge of e-filing protocols for state and federal and maintenance of passwords
  • Confirm court appearances and depositions
  • Monitor case progress in assigned courts, obtain decisions, orders and other relevant documents; communicate case status to responsible attorney
  • Interact with all levels of court personnel
Qualifications:
  • 3-5 years of experience within a law firm in the Managing Attorney/Clerk's office required
  • Bachelor’s degree preferred
  • Proficiency in Microsoft Office applications
  • Experience utilizing MA3000 or similar calendaring tools
  • Must exhibit well-developed interpersonal and client relation skills
  • Exceptional verbal and written communication skills
  • Excellent organizational and planning skills
  • Must exhibit initiative and problem solving skills
  • Strong attention to detail and accuracy
  • Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere
  • Knowledge of federal and state court rules
  • Knowledge of various court websites, docket searching and document retrieval databases required i.e. PACER, E-Track, NYCAL, Courtlink and Lexis/Nexis, etc
  • Licensed Notary Public helpful
  • Military experience a plus
