Our client is Hercules is looking for a MarCom Project Coordinator on a contract basis (4-6 months). This is a great company to work for with exciting MarCom projects!
POSITION SUMMARYThe Project Coordinator will be working under the supervision of the Project Manager to facilitate the day-today flow of projects through the MarCom Department. The Project Coordinator is a highly organized and motivated self-starter who is able to take direction and execute tasks with little supervision. The Project Coordinator should be detail-oriented, have the ability to multi-task, have a healthy respect for process, and thrive in a creative, dynamic environment. The Project Coordinator interacts extensively with internal clients and the MarCom staff and will need to exercise mature judgment, discretion, and a customer service orientation.
DUTIES AND RESPONSIBILITIES
Demonstrate thorough understanding of all inter-departmental processes, systems, and applications to facilitate a smooth workflow. Support the Project Manager in the scoping, execution, and archiving of all projects. Create, maintain and adjust project schedules to accurately reflect project progress and align with Client requested deadlines. May have the opportunity to directly manage a smaller subset of projects and/or clients. Tasks may include: generating schedules, establishing milestones, trafficking projects, and assisting PM with project budgets/costs & creating Scope of Work or Change Request documents.
Understand client needs and set expectations. Communicate MarCom project process and detailed project plan. Keep clients informed of status throughout life of project. Document, organize, and prioritize client requests, changes, and other project information.
Team Resource Coordination.Maintain and update team calendar and standing status meetings. Work under the supervision of the Project Manager to identify team resource needs and communicate this need to larger project management team. Maintain and update team status report to reflect project diary updates, client priorities, and milestone changes.
Support the Project Manager in the reporting of team project metrics. Tasks may include: detailed documentation of project notes, verification that project closing tasks have been completed, and preparation of final project summary for management’s KMI (Key Management Indicators) review.
General Team Support.
Outreach to clients and team members to assess project status and to communicate project requirement and goals. Supervise the organization and archiving of project documents and assets. Assist Project Manager with preparation of team and client meeting documents and presentations.
BA/BS degree (in Communications, Advertising, Marketing, Business or applicable field) or related experience
3+ years of project coordination/management experience in an agency, creative communications, or marketing setting
Ability to work well under pressure, juggle several projects concurrently, handle multiple deadlines, prioritize multiple tasks under tight timelines
Ability to work and communicate diplomatically with clients, management, and cross-functional staff
Solid experience with print, web/digital, and video projects
Strong verbal and written communication skills
Working knowledge of MS Office (Word and Excel) and/or other database applications on a PC platform
Working knowledge or experience with projects involving web/digital/interactive technology a plus (e.g., Adobe CS, Flash, HTML, etc.)
