External Job Description:
The Marine Supervisor is responsible for effectively scheduling dock deliveries, managing the marine terminal operators' workloads within designated time frames and cost structure and in compliance with efficiency standards and safety regulations. The Supervisor directly manages the marine terminal operators, including all coaching, disciplinary, and hiring actions. The Marine Supervisor will provide support to truck transportation and general site operations, and report to the site operations leader. The position will be based in Seattle.
Marine terminal operator management. Lead team of marine terminal operators, including performance management, workload management, training, and hiring and firing decisions. Manage overtime in alignment with Company objectives. Confirm accuracy of time keeping and payroll documentation. Troubleshoot calls from terminal operators, serving as primary point of contact. Serve as secondary point of contact for calls from truck drivers. Manage and escalate product contaminations, spills, and other onsite emergencies to appropriate operations leadership in compliance with Maxum's environmental, health, safety and security guidelines. Provide support to Transportation Supervisor as needed to maintain effective operations logistics.
Scheduling optimization . Schedule all deliveries for the Seattle and Fairhaven (Bellingham) docks; schedule local (small and/or emergency) deliveries via stakebed or pickup; delivery scheduling will maximize operational efficiency, customer satisfaction, and overall profitability in adherence with safety requirements.. Partner with transportation supervisor to maintain effective and truck-based delivery operations. Manage schedule changes (due to terminal operator absences, business changes, and/or dock maintenance) and adjust assignments/routes accordingly, communicating changes to appropriate operations/sales representatives. Provide dispatch support as needed on assigned evenings, weekends, and holidays, managing emergencies and directing response efforts. Review and analyze previous day's deliveries to ensure routes were adhered to and efficiency levels were met/exceeded. Log and report emergency delivery details.
Order/delivery ticket review and creation . Review orders entered by customer service team and clarify/correct as required; create recurring orders in dispatch system. Read Web-based monitors for tank levels and generate delivery tickets if needed.
Customer management . Serve as key point of contact for sales representatives, drivers, warehouse team, and operations leadership on all delivery-related issues. Answer questions from customers as needed, referring them to customer service and other sources of information. Develop knowledge of customer order history and locations and apply this knowledge to daily routing and management of emergency situations.
Other operations responsibilities as required . Coordinate dock and vessel maintenance with Global Marine Transportation and Maxum teams. Collect/reconcile sales orders, invoices, and cash deposits and send to central finance team. Evaluate previous day's deliveries for back orders and pushed orders.
High school diploma or equivalent required; undergraduate degree preferred
Proficient in Microsoft Word and Excel; dispatch, ordering, and/or financial system experience preferred
Minimum three years supervisory experience preferred
Previous experience dispatching vessels and working knowledge of marine terminal regulations; prefer previous experience dispatching drivers and trucks and working knowledge of DOT regulations
Previous experience in petroleum/lubricant distribution industry strongly preferred
Proficiency with Microsoft Office products, GPS tracking system, video monitoring systems, and tank monitoring systems; proficiency in financial systems (MAS200, SAP) strongly preferred
Proven ability to communicate with cross-functional internal and external stakeholders, including drivers, warehouse operators, sales representatives, customer service, and customers
