The Market Access Coordinator will provide high level administrative support to the Market Access Department in a professional, multi-functional, hands-on capacity. The position will provide administrative expertise, systems, communications and processes to support the overall Market Access group which includes Trade & Distribution, Managed Care and Contracting, National Accounts, and Government Affairs. This requires coordination and interaction with the sales, marketing, strategic market planning, analytics, finance, and legal departments. The position will also be responsible for developing, implementing and maintaining a vendor, contract, and payor database system to track contracts, payments, and vendor information. The position will also provide support to the department for travel arrangements; meeting and event planning; and meeting presentation preparation; Individuals must possess the ability to manage highly confidential and sensitive information while exhibiting discretion. Candidates must display good judgment with all levels of personnel interactions: must be customer service oriented, proactive, dependable and have the ability to handle the pressure of a fast paced commercial organization.
Coordinates department calendars by planning and scheduling meetings, conferences, teleconferences, travel, and reservations for various activities, including those with outside vendors
Develop, implement, and maintain a vendor, contract , and payor database system to track vendor contracts, invoices, , PO’s, and customers/clients
Provide a wide variety of administrative coordination activities as requested by the various areas in the Market Access Department
Create and maintain spreadsheet programs, databases, graphics , and other visual displays for the department
Assist with Market Access budget management and financial tracking
Ø Manage and track Purchase Order requests and contracts and work closely with finance and legal departments to ensure timely approval.
Manage incoming and outgoing mail and correspondence, emails, and faxes
Provide back up support for the other Commercial coordinators as needed
Expense report processing through CONCUR
Implement and maintain market access department databases and filing systems
Develops good relationships with the sales and marketing team, executive committee and Board members, all Vivus employees, company advisors, service providers and key vendors
Minimum of 5+ years applicable experience providing high level administrative support.
BS/BA or equivalent experience required.
Ability to interface effectively with various levels of Senior Management (on-site and field positions)
Excellent interpersonal skills and the ability to work effectively with a wide range of people
Excellent oral and written communication skills
Exceptional attention to detail is required
Ability to successfully handle multiple projects concurrently while being able to prioritize.
Excellent computer skills including proficiency with Microsoft Office Suite (Word, Excel, Access and Power Point)
Eager to learn new material, skills, and ways to leverage the department’s time.
Ability to manage multiple assignments and projects independently and simultaneously and ability to work independently as well as collaboratively in a group
Must possess excellent communication skills, both oral and written, and have excellent telephone, videoconference and interpersonal skills
Ability to maintain confidential and highly sensitive information
Must be detail oriented, organized and customer service focused
Must be comfortable with expense reports and other numerical/analytical projects
Previous pharma/biotechnology experience in a growing, dynamic environment is important
