Position Summary:
The Marketing Communications Assistant provides administrative support to the staff of the Marketing Communication Department in the development and delivery of marketing materials. Uses technology to conduct general research, clerical, and project based work.

Essential Job Duties:
Work with Marketing Communications Fulfillment Associate to ensure smooth operation of fulfillment room, to include adjusting policies and procedures, identifying and coordinating seasonal staff, and adjusting sales and retention requests as needed.

Data Entry for Medicare product and prospects.

Provide administrative and personal support to director and managers, to include scheduling meetings, preparing agendas, and scheduling appointments.

Create and maintain Excel spreadsheets for internal department use in inventory, budget tracking, etc.

Conduct literature fulfillment activities, including packet building, inventory control, and fulfillment room coordination.

Coordinate support services of our print vendor, which includes obtaining quotes, PO’s, and inventory management.

Maintain hard copy and electronic filing systems for advertising files, including correspondences, press releases, and advertising.

Maintain the competitor files for the division.

Coordinate movement of materials between locations, as necessary

Suggest ideas and implement changes to improve the distribution of brochures and promotional materials.

Assist with trade show and event planning.

Assist in preparation of estimates for production-related activities.

Provide backup assistance to the Sales Support Specialist and the Administrative Assistant, with shared responsibility for phone coverage and filing for the division.

Conduct projects and participate in team activities to identify problems and improve work processes and systems.

Order and inventory maintenance of marketing promotional inventory.

Perform other special assignments, as requested.

Qualifications

Required:
Associate’s degree in business or a related field, or equivalent work experience.

Proficient in Microsoft Office applications.

Strong verbal and written communication skills.

Ability to handle multiple tasks simultaneously, meet time sensitive deadlines, and organize workload with general supervision.

High level attention to detail and customer service, with the ability to meet the needs of different audiences and customers.

Preferred:
Bachelor’s degree in business or a related field.

Experience with Adobe Creative Suite and Photoshop software.

Technical knowledge of printing and production processes and/or digital projects.

Essential Physical Functions:
Ability to lift small boxes.
