  • Assist Marketing Division directors; i.e., director of marketing, director of events, director of training and education, and director of business development
  • Maintain directors’ schedules
  • Disseminate information via verbal and written methods
  • Organize and manage meetings
  • Prepare agendas and take meeting minutes
  • Organize division functions
  • Relieve Marketing Division directors of clerical work and minor administrative and business details
Essential Duties and Responsibilities

Essential duties and responsibilities include the following (other duties may be assigned):

  • Review and flag various email and voice messages
  • Compose and draft routine correspondence
  • Organize and maintain file system and file correspondence and other records
  • Answer and screen telephone calls and arrange conference calls
  • Coordinate manager's schedule and make appointments
  • Greet scheduled visitors and direct to appropriate area or person
  • Arrange and coordinate travel schedules and reservations
  • Complete and submit credit card reconciliation reports, reimbursement reports, erequisitions, and other sensitive financial reports
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings
  • Copy correspondence or other printed materials as necessary
  • Maintain employee birthday, anniversary, and special events calendar for manager; coordinate monthly/quarterly celebratory meetings and incentives
  • Order office supplies and maintain office inventory as needed
  • Manage time off requests, change forms, and other documents as needed
Education and Experience

Bachelor’s degree or 3-5 years of related experience or training

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience
AS degree; or three to five years’ related experience and/or training; or equivalent combination of education and experience

Language Skills

  • Ability to read and interpret documents such as marketing plans, budgets, and project plans
  • Ability to effectively write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of organization
Mathematical Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to deal with problems involving several concrete variables in standard situations
Computer Skills

To perform this job successfully, an individual should be proficient in researching and finding information on the Internet and in using Microsoft Word, Excel, PowerPoint, and email tools such as GroupWise
