This Sr Administrative Assistant will provide administrative support to the Vice President, BMG Marketing and additional members of the Marketing Leadership team. The person in this position will have contact with employees at all levels within the company and will frequently interact with senior executive leadership and administrative support.
In addition, this Sr Administrative Assistant plays a key role in communicating with customers, agencies and external groups.

- Provides support for the leaders to ensure they live their safety stand and adhere to their safety responsibilities and leadership.
Provides direct administrative support to the VP BMG Marketing:
- Schedule Maintenance
- Compose email/correspondence for own or management signature
- T&E expense report processing
- Filter calls and open mail (including e-mail), using own judgment to redirect action items/queries without referral
- Anticipate VP information needs for meetings and projects being handled in the course of each day and for those taking place during travel. Determine and compile materials the VP needs for those meetings and projects.
- Provide pro-active support to track actions, deadlines and manage documents
- Organize travel using creativity and cost awareness
Handle administrative duties in support of the VP and NLT as a team including purchase orders and invoice processing
Prepare agendas, arrange for teleconferences, video conferences and webcasts for meetings
Budget accountability for department including department meetings, events, and other administration spend (e.g., contractor resources and office supplies)
Create reports, presentations and correspondences for the business and executive sessions with the utmost integrity, respect and confidentiality. Maintenance of the Marketing SharePoint site.
Maintain appropriate hard copy and electronic filing systems
Coordinate and schedule meetings and events with senior level internal and external constituents
Organize, coordinate and disseminate correspondences from outside entities (e.g., agencies, customers, industry groups, etc.)
Develop and maintain a wide, high-level, and effective network of relevant business and administrative contacts
Focal point for all general administration matters : meeting requests, supply orders, internal moves, booking conference rooms for large meetings and meeting facilities, updating address and distribution lists, etc.
Previous experience as an Administrative Professional and the demonstrated ability to function at the Executive Administrative professional level.
Experience communicating both internally and externally and effectively managing relationships.
High School diploma required, Associates or Bachelors Degree preferred
Knowledge and Abilities:
Ability to maintain the confidentiality of sensitive communications and data
Strong communication skills (written and verbal) and organizational skills and the ability to interact effectively with a wide variety of constituencies
Strong working knowledge of the MS Office Suite including Outlook, Excel, PowerPoint and Word. SharePoint knowledge preferred.
Ability to manage timelines, work well under pressure and deliver in a fast paced work environment to meet business critical deadlines
Ability to work independently and proactively with minimal supervision and guidance
Strong business acumen and ability to communicate on behalf of Senior Leaders
Is highly service oriented – has a desire to do what is necessary to meet the needs of the team
A take charge attitude with respect to identifying ways that the group or individuals within the group can operate more efficiently and effectively
An outgoing, friendly and professional personality
Not afraid to say what needs to be said but, in a considerate way
A high aptitude for learning and trying new methods to achieve results
Must be eligible to work in the U.S. on a permanent basis.
