The Professional Education Department at Hospital for Special Surgery is seeking an experienced Marketing & Events Coordinator to manage professional education and continuing medical education (CME) activities in musculoskeletal medicine. This includes tasks related to business development, marketing strategies, budgets and planning and executing live professional education and CME courses. The successful candidate will work collaboratively with the other Professional Education Coordinators (Accreditation and Compliance, Resource Development), Activity Directors, internal and external faculty, allied health personnel and others to develop and implement educational activities within their specialty area.

Key Duties and Responsibilities:

  • Create and implement marketing strategies including a promotional schedule for onsite and online professional education and CME activities using traditional marketing platforms, social media, internet and other new media platforms
  • Collect data and analyze impact of marketing efforts and adjust strategies accordingly
  • Oversee editing and review process of activity marketing materials to ensure accuracy and compliance with ACCME and AMA criteria
  • Implement resource management initiatives for mailing list services, associations and professional groups to secure and purchase selected mailing lists, e-mail lists, etc. for marketing of activities
Budget Management
  • Create, manage, reconcile & finalize activity budgets; ensure cost efficiency for each activity
  • Negotiate with external vendors (caterers, hotels, mailing list services, etc.) to ensure contracted deliverables are received on time and on budget
Logistics Planning and Implementation
  • Oversee and manage all onsite and online webcast professional education and CME activities in accordance with accrediting body requirements and HSS policies
  • Develop and oversee participant registration process and address customer service issues using sound judgment and the highest level of professionalism
  • Lead all activity planning sessions with activity directors to ensure timely planning and implementation of marketing strategies and overall logistics
  • Manage all logistical and support services for all activities, including:
    • Develop and implement registration process in CME Tracker
    • Research space options (both on and off campus) and secure final space reservations in a timely manner (up to 12 months in advance)
    • Select catering services and plan menus
    • Confirm and secure audio-visual resources
    • Coordinate production of onsite materials such as: syllabus, badges, links to participant evaluations and presentations, etc.
    • Monitor weekly registration data to assess space needs and make logistical alterations as needed
    • Develop and oversee support plan for on-site registration and meeting support for all onsite and online activities
    • Maintain CME Tracker database in terms of registration records, generation of participant and marketing lists and other essential reports to manage activities
    • Maintain, update & circulate monthly activities calendar on CME Tracker
    • Develop and implement staffing plans and direct staff for onsite and online activities; identify additional on-site staff as necessary from Education & Academic Affairs and the host department
    • Recruit and manage intern
    • Represent HSS at professional education activities on and off campus
  • Maintain required HSS and regulatory (e.g. ACCME, BOC, etc.) activity documentation and other materials for all OCME activities
  • Ensure compliance with all ACCME and AMA requirements, specifically in regard to marketing and logistics
  • Actively participate in ACCME reaccreditation process


Minimum Requirements:
  • Bachelor’s Degree
  • 5+ years professional work experience
  • Available to work select weekends and evenings as needed
Essential Competencies:
  • Experience in a hospital or health care setting and/or business development highly desirable
  • Ability to work independently and proactively
  • Sound judgment and ability to protect and project the HSS brand while working with our partners and the public
  • Capable of prioritizing multiple projects and deadlines in a fast-paced and professional environment
  • Comfortable interacting with all levels of professionals from office staff to world class surgeons
