Data entry, fax, copy, answer multi-lined phone calls, retrieve and return messages, filing important documents, send employees out on random drug and alcohol testing every month and physicals when needed. Manage onboarding paperwork for new hires and assist them with any questions. Make sure all employees have a Level 4/5 Background clearance for security purposes, send employees out for fingerprints, payroll and auditing of time logs & time sheets for errors using SAP, approve hours for temp employees, manage vehicle registration/records and make sure they are up to date for all vehicles within California, assist at meetings, arrange flights and reserve rooms for our employees as needed, manage authorizations for any testing. Manage vacation requests and make sure they are scheduled on the vacation schedule, travel to our other locations in Long Beach and Ventura to assist with the other employees and be available for anything they need, help supervisor with special projects as needed. A very reliable multi-tasker who can work in fast paced dynamic environment under strict deadlines. Candidate should be self motivated and be able to take initiate to get things done. Confident, very well organized, with good time management skills. Strong desire to learn new tasks and skills. Since this person will be the first point of contact with employees on sensitive issues they need to have a very pleasant demeanor and have excellent communication skills. Must be very flexible with work hours as the job will involve some weekend and after hours work. Fluent in Microsoft office package.
