Reports to the Fiscal Officer and Clinical Director. This is a dual function in the Department of Psychiatry. Assistant manages medical charts and works closely with front office personnel and finance staff.
TN-Wits Billing – Responsible for billing the State on a daily basis for the programs that provide service to our clients, such as the following:
IOP and OP
Medical Records – Coordinates and supervises the day to day operations and work flow of the Medical Records office. In conjunction with the FO, implements and updates EMHC Policies and Procedures relating to the management, retention, and storage of medical records.
Clerical Charting/Filing- Responsible for setting up medical charts for Programs, routing to the appropriate personnel, and filing charts once returned to the Medical Records office. Shall work with Clinical Director/ Program Manager to pull charts as needed for special audits, peer review and such.
Monitors medical records for compliance requirements, confers with FO or Clinical Director concerning quality compliance issues and participates on related committees as assigned.
Medical Record Requests – Responsible for monitoring fax machine where requests are submitted. All requests should be processed in a timely manner. If needed shall interact with legal and medical offices regarding matters pertaining to medical record requests. Verifies identification of individuals requesting medical records and obtains signed consent for medical records release.
Prepare monthly report: Provide billing reports for FO and Clinical Director at the end of each billing cycle for each program.
Other: Perform other duties as required, must relieve receptionist and assist with other duties pertaining to Admissions/In-take when needed and perform related duties such as:
Attend Program Manager meeting and take minutes for Clinical Director.
Other Duties as assigned
Bachelor's degree and a minimum of one (1) year of experience medical records keeping is required.
