To perform specialized clerical and secretarial duties in support of the medical staff/faculty of the TTUHSC . Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.
-Creates, prepares and maintains various office documents and mail distribution while maintaining an effective organized system.
-Secretarial Coverage, when other secretaries are out on vacation or sick leave. Staff will be responsible for the absent person duties.
-Process and respond requests from UMC and internal associates.
Position Specific Qualifications:
Excellent customer service skills. Ability to write routine documents such as memos, grants, etc. Knowledge of Medical Terminology. Must have excellent communication skills and the ability to interact effectively with others. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to apply commonsense understating to carry out instructions furnished in written, oral or diagrams form. Knowledge of office practice and procedures. Good reading and writing skills; excellent typing skills; display accurate and skillful use of personal computer and assigned software such as, but not limited to, Word, Excel, PowerPoint and other similar software. Excellent telephone etiquette.
-Credentialing, secure that all provider licenses are current.
-Travel request for new and current faculty and staff.
-Obtain all leave request from assigned provider and process based on TT policy.
High school diploma or GED . At least 90 days experience as a Medical Secretary Trainee OR Three years of secretarial experience with 1 year in a medical or scientific setting. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Knowledge of office practice and procedures. Display accurate and skillful use of a personal computer and assigned software. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee is occasionally required to stand and walk. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
