We’re searching for a Meeting & Event Planner who will be responsible for owning the management and delivery of assigned meetings and event projects, acting as a liaison among client, sales account management, internal support departments and external vendors. RESPONSIBILITIES:
  • Ownership of all project delivery elements, utilizing standard processes and procedures to achieve client satisfaction. Key responsibilities include but are not limited to: managing event budget and timelines, food and beverage, function space, themed events, audio visual and production, activity planning/sourcing, attendee registration, and program communications.
  • Effectively communicate with meeting owners, attendees, agencies, supplier partners and internal support areas to ensure accurate and timely delivery of assigned meetings and events.
  • Accountable for weekly submission of time tracking being cognizant of utilization and client billable parameters.
  • Proactively escalate potential client or project issues for timely resolution.
  • Management of supplier partners and internal support areas to ensure quality and timely delivery.
  • Financial reconciliation of all projects utilizing client standard processes and procedures.
  • Financial accountability for assigned projects ensuring compliance with all pro forma and financial processes including adherence to client deposit terms, terms and conditions of client contract, billing turnover requirements and cash management guidelines.
  • Provide project feedback to all stakeholders through project debrief notes for inclusion in account review.
  • Contribute to overall client satisfaction on a project by project basis.
  • Travel on-site for assigned projects, as required.
  • Direct on-site Travel Staff.
QUALIFICATIONS/KNOWLEDGE/SKILLS/ABILITIES:
  • 4 year degree or equivalent experience; travel/tourism emphasis preferred
  • 2+ years of Meeting/Event Management experience
  • Computer proficiency in Microsoft Office Suite
  • Proven ability in project management & financial aptitude
  • Experience with attendee web registration systems such as StarCite
  • Excellent communication skills both verbal and written, with high energy level and professionalism
  • Ability to work independently as well as a member of a team
  • Excellent organizational and time management skills with ability to manage multiple projects and deadlines simultaneously – detail oriented
  • Superior customer service ethic and high expectations for quality
  • Specific experience in the following meeting types: pharmaceutical meetings, product launches, client incentives, and conventions
