Medical/scientific association in Washington, DC, seeks a creative, detail-oriented, Membership Coordinator. Reporting to the Director, Membership. The Membership Coordinator supports department director in efforts to build membership in AACC and to ensure superior membership experience for current members. Coordinates the development and implementation of activities related to AACC Division activities. Provides support to and executes tasks related to Membership Programs, including member communications.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Coordinates member renewals including broadcast emails, print invoices, telephone solicitations, tracking reports, runs membership queries and reports in database, and compiles statistics. Runs the new and renewal members daily reports to send new and renewal membership letter/membership cards via email or mail (for those without email addresses). Assists the Membership Director in the implementation of new member recruitment campaigns to include broadcast emails, list generation, and other duties as warranted. Updates the New Member Online Kit as needed. Maintains accuracy of membership pages online as warranted by content updates and changes. Responds to written and telephone inquiries in a timely manner from section officers, members and staff, and provides information to members as requested. Assists Membership Director in development of new member programs and events that attract new members and engage and retain existing members. Provides excellent customer service for AACC Members. Provides support to member service promotions at Annual Meeting to include development of materials, packing and shipping preparations (to and from) and attends meeting as needed.
Division Duties and Responsibilities Maintains up-to-date statistics for AACC Divisions through use of AACC reporting mechanisms Documents and follows established policies and procedures for divisions. Writes correspondence and handles finances as needed for Divisions Makes arrangements for AACC division conference calls, e-mails, and mailing labels. Coordinates logistics for AACC division meetings as needed, including travel authorization. Maintains records of AACC division newsletters, minutes, and bylaws. Runs monthly AACC division membership reports and demographic data as required. Processes AACC division income and expense vouchers. Prepares and distributes reports to staff, officers and division chairs as needed. Administers division broadcast e-mail communication programs. Provides staff and Division officials with membership material and handouts for meetings.
General Performs other administrative functions as required. Interacts with members (both current and prospects) and vendors. Front desk/receptionist relief coverage on a rotation basis. As needed, may attend annual meeting.
