Ensure accurate and timely processing of all incoming contracts, order forms, purchase orders, partner agreements.
Review complex contract terms and make sure that supporting documentation is in order. Escalate issues promptly if information is missing or unclear.
Maintain compliance with booking policies for all orders and monitor group activities.
Maintain a high degree of data integrity in all supporting financial and transactional systems
Provide prompt, complete, accurate and professional feedback to internal and external customer queries.
Train Sales and other related field personnel on the use of TIBCO’s order management tools; facilitate, prepare, organize, present, and record web-based OM tools and process training for global field teams. Field one-off questions in a timely and accurate manner.
Engage and partner extensively with Sales Operations, Legal, Fulfillment Operations, A/R, Revenue Accounting, Customer Support, Maintenance Renewals as well as other stake holders.
Support IT projects by working closely with the IT team to identify potential areas for improvement and automation opportunities, writing and reviewing business requirement documents, creating and executing test scenarios.
Supervise, mentor, train, motivate and guide a team of seven. 10. Coordinate workflow during peak activity periods by actively allocating resources where needed.
Bachelor's degree in a related field
At least five years of prior order management experience, two years of which in an enterprise software licensing environment. Three years of experience managing direct reports.
Ability to read and understand complex legal license agreements, identify key order elements, determine order entry requirements, coordinate booking process.
Work independently to resolve complex issues related to product entitlements, non-standard order processing, systems and integration.
Possess knowledge and desire to perform hands-on contract and order management responsibilities as needed, but especially during periods of peak demand, such as quarter-ends
Immaculate attention to detail, ability to build and follow processes.
Ability to work on weekends and late evening hours as needed, but especially during periods of peak demand, such as quarter-ends.
Solid experience with ERP systems and/or other order management tools. Priority will be given to candidates with recent working knowledge of Oracle 11i Order Management, IB (Installed Base) and SC (Service Contracts).
Working knowledge of BI (business intelligence) and/or other corporate reporting tools.
Experience with IT business systems implementation projects; ability to partner with technical teams, determine and document business requirements, establish test scripts, execute testing and provide feedback.
10. Proficient with Microsoft Excel, Word, PowerPoint.
11. Strong verbal and written communication skills with the ability to influence change.
12. Bachelor’s degree in a related field.
