The work involves performing clerical tasks for accurate and timely entry of staff scheduling in preparation of payroll submission for the Nursing Department at the Erie County Medical Center Corporation. The incumbent performs a wide variety of specialized clerical duties associated with Nursing staffing and payroll computation functions. Work is performed under the direct supervision of a higher level administrative or clerical employee, with leeway for independent judgment based on established procedure and guidelines. Supervision is not a responsibility of this position. Does related work as required.


Inputs and updates approved schedules of the Nursing Department into a computerized scheduling system;

Assists Unit Manager in ensuring facility is properly staffed by verifying staffing requirements with actual staffing numbers, adjusting staff assignments to conform to staffing needs and notifying staff of available overtime following the overtime wheel;

Maintains overtime wheels following provisions of Collective Bargaining Agreements;

Maintains documentation/phone logs of staffing interventions as required by regulatory agencies;

Transcribes, enters and verifies staffing changes in preparation for bi-weekly submission of payroll;

Adjusts staffing sheets to reflect approved time off;

Alerts managers of over scheduled or under scheduled employee hours; makes adjustments to employee’s scheduled as indicated by managers;

Enters payroll deviations into automated payroll system;

Responds to and assists employees with questions regarding time cards or payroll checks;

Collaborates with Unit Managers and Payroll Department to solve timecard and payroll issues;

Maintains files and records associated with nursing staffing and payroll computation functions;

Prepares various reports.

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Good knowledge of office terminology, procedure and equipment; working knowledge of forms, procedures and terminology involved in the maintenance of staffing and payroll systems; working knowledge of automated scheduling and payroll systems; ability to operate a computer terminal; ability to understand and follow oral and written instructions; ability to communicate effectively, both orally and in writing; ability to establish effective working relationships; ability to work independently; ability to work in a fast paced and stressful environment; tact; high degree of accuracy; clerical aptitude; organizational skills; physically capable of performing the essential functions of the position with or without reasonable accommodation.


Graduation from high school or possession of a high school equivalency diploma and two (2) years of general office experience, which included automated scheduling and automated payroll systems experience.

NOTE: Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.
