  • Performs duties as an Office Assistant to a Section Supervisor.
  • Duties include but are not limited to; use office automation software with varied functions to provide clerical support; acquire standard commercial supplies, services, or material using primarily simplified, noncompetitive acquisition procedures; maintain and perform work in the Safety program such as inspections/surveys and training.
  • Uses varied functions of multiple office automation software to produce a wide range of documents, formats, etc.
  • Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents.
  • Reviews purchase requests for standard commercial supplies, services, or construction in terms of compliance with administrative requirements and adequacy of information, including item description, minimum allowable purchase quantity, and estimated cost.
  • Performs periodic inspections and evaluations of assigned section to determine compliance with appropriate occupational safety and health regulations.
  • Provides safety briefings and instruction on specific safety procedures to employees on such areas as traffic safety, Hazardous Materials, HAZCOM Program, Confined Spaces, and Personal Protection Equipment.
  • Receives telephone calls and greets visitors.

QUALIFICATIONS REQUIRED: Back to top SPECIALIZED EXPERIENCE: At least one (1) year of specialized experience at the next lower grade (GS-04) or equivalent. Specialized experience must include k nowledge of various office automation software processing procedures and function keys and the similarities and differences among software types to produce a wide range of documents, such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

1. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents, such as letters, reports, spreadsheets, databases, and graphs.

2. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports.

3. Knowledge of office functions to screen telephone calls and visitors, prepare and review correspondence, and perform other administrative work of the organization.

4. Knowledge of automated and/or physical filing systems and procedures and the subject matter content of the materials being processed.

5. Knowledge of format and clerical procedures to arrange a variety of material from different sources.

6. Skill in typing. A qualified typist is not required.

7. Ability to locate, assemble, and compose information for routine reports, inquiries, and nontechnical correspondence.

8. Ability to communicate effectively, both orally and in writing, using tact and courtesy.

9. Ability to plan, organize work, and meet deadlines.

10. Knowledge of basic arithmetic used in business to make simple comparisons of price, discounts, transportation costs, or similar terms.

11. Ability to interpret standardized purchasing regulations, policies, and procedures relating to transactions processed.

12. Ability to learn common business practices, market sources, and operations to advise requestor's of various product

characteristics and determine adequacy of item description listed on purchase request.

13. Ability to learn purchasing methods to make purchases under established contracts such as delivery order or blanket purchase agreement (BPA) against repetitive contracts.

14. Knowledge of general management functions, practices, and procedures sufficient to understand organizational objectives, safety and occupational health principles, regulations, standards, and work processes of assigned organizational segment.

15. Knowledge of standard training techniques, methods, and materials sufficient to develop and present formal training and instructional sessions.

PART-TIME OR UNPAID EXPERIENCE : Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

ADDITIONAL CONDITIONS OF EMPLOYMENT :

1. Employee must possess a valid motor vehicle operator’s license.

2. Employee may be required to support Special Events (i.e. Annual Air Show, Base Exercises) not necessarily performing in their primary skill code.
