The Anoka County Attorney's Office has an immediate opening for an Office Support Assistant who will provide receptionist services and clerical support to our 6th and 7th floors, Monday – Friday, 8:00am to 4:30pm for the Administration Division, Civil Division, Family Law Division, Criminal Division, Juvenile Division, Victim Witness Services, Investigation Unit and provide assistance and support in other areas of the office as required.
EXAMPLES OF ESSENTIAL DUTIES (ILLUSTRATIVE ONLY):
Screens and directs flow of people and telephone calls to appropriate individuals in the office; identifies inquiries not pertaining to County Attorney’s Office and refers to appropriate agency or resource; receives and initiates phone calls or direct contact with court personnel, law enforcement agencies, attorneys, probation agents, etc.; greets victims and witnesses, provides information from case management system and inputs data as requested; performs secretarial and clerical services to divisions as needed; opens, scans and distributes mail/faxes to all divisions; special projects as assigned
High school education or equivalent; one to three years related receptionist and clerical experience; or equivalent combination of education and experience. Public sector experiences preferred, but not required.
Knowledge of : Microsoft Word, Excel, Outlook, case management systems, general office procedures, business grammar, alphabetical and numeric filing systems.
Ability to: Accurately type 40 wpm, be flexible in accepting assignments of various support tasks in a frequently changing work environment, operate office equipment including Microsoft Office software, photocopiers, facsimile machine, multi-line telephones, make a positive impression on and communicate effectively with a diverse group including the public, other staff and agencies both in person and on the phone, work independently; organize work and manage multiple priorities while meeting multiple deadlines. Must be able to multi-task and be able to work in a busy work environment, dealing with interruptions on a daily basis.
Skill in: Oral and written communications with attention to detail. Strong organizational and time management skills. The use of MS Word, MS Excel; skill in and understanding of case management systems.
