Minimum Requirements: 3+ years of Administrative office experience in a fast-paced environment Experience working directly with clients in a very warm, caring manner Strong computer skills including MS Office SuiteThis position requires that you possess the following skills: Strong organizational skills Savvy customer service to include excellent communication both verbal and written Strong follow-through Self-directed initiative Ability to be flexible and adapt quickly to change Responsibilities: Office Administration and Client Service: Assisting the Financial Advisor and Team in managing the branch office to exceed client and regulatory expectations include: Answer phones greet clients in a friendly, positive and warm manner Order supplies and maintain general office area Take detailed and accurate client messages Database management Sort distribute all mail, emails and faxes Maintain office filing system Develop and mail letters to clients for various purposes Attend and participate in staff meetings Assist with industry-specific duties as needed Marketing Assistance: Follow-up with Prospects after events Assist with preparing the Advisor for upcoming speaking engagements Call and confirm Client and prospect appointments Input notes into database of phone calls made and appointments set Assist with event presentations and ideas Maintain marketing folder and marketing calendar Assist in planning coordinating client appreciation events and seminars as needed Assist with compliance of marketing materials Putting client needs first is deeply rooted in our culture and at the core of everything we do!
