We are currently seeking a Fulltime - Office Assistant to join our Conshohocken, PA team of professionals. If you want to join a company who is changing the face of the future and you are among the “best and brightest” in your field, then this opportunity is for you.

Our ideal candidate is a responsible and energetic team player who can effectively multi-task between performing administrative tasks and general office coordination.

Position Responsibilities:
Administrative Functions :
Perform data entry and clerical task with a high-degree of accuracy;

Ensuring all staff time sheets are submitted and approved on a timely basis;

Train new hires on Time & Expense reporting procedures;

Develop and send internal/external communications via email and letters;

Review, code and prepare invoices for payment and submit to A/P;

Update and maintain Petty Cash;

Sort and distribute incoming mail, overnight, and ground service delivery packages to appropriate parties;

Prepare and coordinate all overnight mail (UPS, FedEx, etc.) for pickup and assist employees in tracking;

Handle sensitive information with confidentiality and discretion;

Greet and assist guests and employees to ensure their needs are met and that their visit was a positive experience;

Assist management to ensure that time sensitive documents are submitted & approved by deadlines;

Communicate and interact professionally and cordially with clients, management, and staff;

Perform photocopying, faxing, mailing, filing projects, and ordering supplies as necessary.

Office / Facility Functions:
Maintain general areas, kitchens and conference rooms, ensuring that they are neat, clean and stocked with beverages and supplies at all times;

Assist management with conference room setup for onsite and offsite meetings;

Organize, setup, and facilitate all company events (i.e. breakfasts, lunches, parties, etc.)

Ensure copy and general supply areas are maintained and stocked (copy paper, letterhead, envelopes, overnight mail supplies, office supplies, etc.);

Monitor and maintain inventory of all supplies (Office, Kitchen, Overnight, etc.), placing orders as needed;

Perform routine local errands (bank deposits, supply pickup, etc.) as needed;

Act as a liaison with outside vendors and messenger services. Ensure services are scheduled, communicated, completed and any issues are addressed in a timely manner;

Responsible for employee workstation assembly, set-up and moves as needed;

Assist with internal office moves (seating arrangement, supplies, files, etc);
Perform other duties as assigned.

Essential Skills and Experience:
Minimum High School diploma, college degree preferred;

Valid driver's license required;

Computer proficiency and technical aptitude with the ability to utilize MS Word, Excel, Power Point, and Outlook;

Knowledge of Project Management Systems a plus;

Positive attitude and professional, pleasant demeanor;

Reliable vehicle needed for running office errands;

Excellent communication (Oral and Written) skills;

Is self-motivated, able to work independently and meet deadlines;

Ability to prioritize and manage multiple projects in a fast-paced and challenging environment;

Ability to lift moderately heavy packages/boxes;

Ability to maintain high level of organization and attention to detail;

Ability to remain flexible and responsive when faced with multiple urgent requests;

Ability to approach and communicate with a wide range of personalities;

Skill in the use of office equipment including, computer, fax, printer, telephone system, etc.
