The Role

A fantastic opportunity has opened up for an Front of House/Personal Assistant to join our San Francisco office. The position requires an enthusiastic, professional and pro-active individual to work as front of house on Reception as well as offering PA support to one of the senior partners in the agency.

You will have excellent customer service skills, be a confident administrator with excellent organization and communication skills who thrives in a busy, fast paced environment. We are seeking confident and self assured person with a can-do attitude and bags of initiative! This is a pivotal role where you will be part of the glue that binds the office together.

Reception duties:
Front of house service and enthusiasm

Meet and greet visitors and clients

Taking ownership of the reception and external meeting areas, ensuring they are kept in the best state at all times

Control of stock and ordering for kitchen and stationary

Answering and transferring of incoming calls

Occasional arranging of catering for internal and external meetings/celebrations

Event planning and organization - internal and client

General admin adhoc duties

Scheduling meetings and interviews

Personal Assistant duties :
Full admin support for one of our senior, and very busy, partners

Complex diary management and meeting coordination (across time zones)

Expense processing

Planning and managing travel arrangements (being proactive and thinking ahead of the curve when it comes to diary and travel plans)

Preparation of PowerPoint Presentations and Excel spreadsheets when required

Monitoring emails and responding as appropriate

Helping make their lives easier and keeping them on track

A bit about yourself

You will be a born organizer, with excellent attention to detail and enjoy a varied role. Ideally you will have previous experience working in a similar position. Other skills we’d like you to have are:

Professional approach with excellent interpersonal and communication skills

Professional and friendly telephone manner

Be passionate about providing outstanding customer service

High attention to detail

Ability to prioritize and work independently – have bucket loads of initiative!

Calm, “can do” attitude and the ability to remain flexible in a fast-paced, multi-tasking environment

Ability to work without supervision and take ownership of tasks

MS Office skills, Word, Excel and PowerPoint is essential

Willingness to maintain a variety of responsibilities, flexible, and helpful and will have experience working within a team.
