Performs various administrative support duties as branch office receptionist, such as reviewing incoming documents, entering information into an application or system; opening, sorting and delivering mail; scanning, filing and photocopying documents; interacting with staff and visitors and answering phones. Follows standard procedures and applies basic administrative skills/ knowledge to accomplish recurring tasks, such as responding to routine correspondence, inquiries and informational requests, with above average professionalism.
Reviews and categorizes incoming documents, verifies information for accuracy and completeness, and may prepare the documents for additional handling by other associates.
Enters and retrieves basic information from various computer systems and applications to update records, obtain information, and respond to routine inquiries; refers more complex issues to more senior level associates or supervisor.
Retrieves and/or maintains files according to standard procedures; may create new files and/or prepare records for offsite storage to comply with retention schedules.
Opens, date stamps, sorts, and distributes mail.
Uses basic skills to prepare documents, spreadsheets, insurance forms, electronic mail messages, and other standardized correspondence.
Greets visitors and answers telephones using a helpful, friendly and professional manner, attempts to assist the caller, takes messages or transfers the call to another associate or to voice mail.
Performs other related office support duties as requested, such as ordering supplies, scanning, photocopying and sending/receiving/distributing facsimiles.
Excellent verbal communication skills, dependability, attention to detail, and ability to follow standard procedures to accomplish routine tasks. Excellent telephone skills and ability to take clear, concise telephone messages. Ability to open, create and modify routine documents using the Microsoft Office suite (e.g., documents, spreadsheets, e-mail, etc.) and enter/retrieve basic information from various applications and systems. Ability to exchange basic information verbally and in writing. High school education or equivalent training required and minimum of 3 years of work experience, preferably in a professional office environment. Knowledge of insurance terminology desired.
