Performs routine and moderately difficult clerical duties of a specialized nature, which may be performed in a variety of University settings. Responsibilities may include basic bookkeeping, data coding, filing, sorting, posting, verifying, recording, typing, and word processing. Work is performed under close supervision within established policies and procedures with job performance based upon tasks completed.
Responsible for effective receptionist services to visiting guests, parents, students, university officials, and international guests for both the Undergraduate Services Center and the Center for Global Engagement.
Manage appointments and calendars for all personnel within the USC and CGE , including making student appointments, sending initial email surveys for CGE , and appointment reminders.
Answer phones, maintain accurate files and data entry as needed for USC and CGE , which includes but is not limited to: updating and cross-checking students statuses in the CGE database.
Good interpersonal and problem-solving skills as well as work ethic with attention to detail, self-motivation, flexibility and team cooperation are essential.
Provides primary secretarial support for both the USC and CGE .
Assist with organizing and hosting receptions, events, such as: Honors Reception, Scholarship Reception, and Commencement Reception for USC .
Responsible for ordering printing and promotional materials for both departments, including: certificates for receptions, diplomas for graduates, advising sheets, affiliate booklets from around the country and world, recruitment materials and more as necessary.
Must be able to help with country research and information guidelines, as well as organize and maintain spreadsheets for and from CGE workshops.
Must be able to compose, track and manage a large email flow for both departments, which includes but is not limited to: Workshop information guides, workshop class schedules, email campaigns, surveys, event announcements and more.
Compose confidential emails/letters to students, parents, etc., as well as compose literature for prospective students and parents and the public.
Must be able to run reports for both departments as needed, do mail merges from said reports, and disseminate information as needed to the appropriate departments/personnel.
Use spreadsheets for bookkeeping and data compilation, responsible for the preparation of summary reports and projections from data for both center and more as needed.
Primary support for and direction will be from the directors for both the USC and CGE .
Must keep up to date on program offerings of the CGE and be primary recruiter for all study abroad programs as initial contact with students and parents of the CGE , as well as what kind of programs are offered and how they work and more as needed.
Other duties as assigned.
Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent.

Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.
