FLEX TIME POSITION - Provide residence hall front desk coverage, which includes the following:
A. Provide administrative assistance such as: (1) answer phone, greet residents and visitors, answer questions, and maintain information for hall staff and students; (2) work with Hall Director to oversee payroll process; (3) use basic computer skills to check email, enter information in the judicial database and the Kronos payroll system, and handle paperwork; (4) sort, distribute and forward daily mail; (5) complete all departmental forms and reports (PRDs, s, etc.); (6) record expenditures and keep a running balance of hall account ledger; and (7) check-out residence hall equipment to students.
B. Contribute to safety and security in the residence hall by (1) inventory and track building keys, initiate lock changes, and prepare key packets for hall opening; (2) monitor building security by enforcing University visitation policies and by monitoring and reviewing security cameras; (3) update the card access database; (4) file and maintain confidential student information; and (5) serve as a liaison to housekeeping and maintenance staff to report building concerns, student needs, etc.
C. Work with the Housing Assignments office, which includes: (1) maintain building rosters, including room change paperwork and "no show" reports; (2) handle all paperwork and preparation for initial check-ins and check-outs; and (3) assist senior staff and R.A.s with the opening and closing of the facility each semester.
D. Engage in ongoing customer service, which includes: (1) provide desk and phone coverage in a friendly, prompt, and reliable manner; (2) be familiar with campus resources and able to provide information to those in need; (3) stay informed of hall events and learning community activities through regular communication with hall staff; (4) be intentional about making everyone feel welcome and included in the community; and (5) strive to develop a professional working relationship with other University staff members.
Skills / Knowledge / Abilities
The incumbent should have basic computer skills so that he or she can check email, use spreadsheets, enter information in databases, review security camera footage, and prepare time sheets. Must have good organizational, communication, and interpersonal skills.
Preferred Education / Experience
High School Diploma and one year of experience in office and clerical work.
