Major/Essential Duties of Job

Works under the supervision of the District Office Manager. Receives work assignments from District Office Manager and District Extension Administrator. Uses computers, printers, phone, copier and other office equipment to accomplish work. Uses broad instructions concerning policies and procedures as well as instructions from office manager and DEAt to perform complex tasks as follows: Maintains varied administrative and fiscal records and files for District Center. Ensures proper procedures are followed for making purchases; creates purchase orders in FAMIS from approved P.O. requests, processes receiving and invoices; enters data into Quicken; reconciles monthly statements. Enters inventory transactions in FAMIS. Assists district office manager in an informal capacity as assistant office manager. Maintains equipment and supply inventory; Creates PO, places order, and files the inventory in FAMIS. Operates computer, printer, copier, fax machine, postage machine and other office equipment. Uses programs such as Word, Word Perfect, Excel, Quicken, PowerPoint, Word Perfect, and internet browsers such as Internet Explorer and Firefox. Enters monetary data into Quicken, reconciles monthly bank statements, issues receipts/invoices and keeps varied administrative, fiscal, budgetary and program records and files for the District 4-H Office.

Occasional Duties

Required Education:
High school diploma or any equivalent combination of training and experience.

Preferred Education:
Associate degree.

Required Experience:
Five years of experience in general office or clerical work.

Preferred Experience:
More than five years of experience in general office or clerical work.

Required licenses, certifications, or registrations:
Driver's License

Preferred licenses, certifications, or registrations:
None

Required special knowledge, abilities, and skills:
Good spelling and grammar skills. Computer and typing skills (40+ wpm); experience using fax, copy and postage machines; telephone skills. Experience with MicroSoft Office (Word, Excel, PowerPoint), Quicken, Word Perfect, Presentations, Email programs, Adobe Acrobat, Internet Explorer/Netscape/FireFox.

Preferred special knowledge, abilities, and skills:
Spanish-speaking ability is desired but not necessary. Good oral and written communication skills

Other requirements or other factors:
Ability to establish effective working relationships. Multi-tasker with the ability to prioritize work; good organizational and interpersonal skills; professional demeanor and maturity. Must be quick learner and be able to work well with others. Must be detail oriented and self-motivated. Positive, can-do attitude is a plus.
