Position Overview

As an Office Coordinator, you will provide a wide range of support duties, working closely with the Community Manager and other managers.

Job Duties

  • Establishing rapport with residents and prospective residents as you field community comments, suggestions, and complaints and forward them to the appropriate manager
  • Preparing and distributing resident and community communications, such as rule reminders, violation notices, increase letters, delinquency notices, eviction paperwork, lease addendums and renewals
  • Preparing bills and statements for Community Manager approval
  • Performing general office functions including answering phones, typing, photocopying, faxing, filing, and other duties as assigned
  • Completing and maintaining community records reports and files
  • Collecting and posting resident security deposits, processing fees, rents, inspection or other fees; record in the proper accounts and issue receipts
  • Making collection calls for site rental payments under the direction of the Community Manager
  • Processing move-ins and move-outs
  • Assisting with the preparation of marketing materials and with the implementation of resident relation activities as directed by the Community Manager
  • Assisting prospective residents by reviewing new and used home listings, showing homes, and assisting with rental applications at the discretion of the Community Manager
  • Forwarding all customer service requests to the Community Manager in a timely fashion
  • Maintaining petty cash fund, recording expenditures in proper accounts
  • Performing credit checks on prospective resident applicants and tracking approvals and denials

  • Job Requirements

    As an Office Coordinator, you must be pleasant, professional and well-spoken. You must also be highly organized and detail-oriented with the ability to manage multiple tasks simultaneously. It is also important that you display excellent verbal and written communication and interpersonal abilities as well as the diplomatic skills to handle customer complaints effectively.
    • High school diploma or GED
    • Minimum 2 years secretarial/administrative experience
    • Strong customer service skills
    • Excellent telephone skills
    • Good problem solving skills
    • Professional appearance
    • Basic computer proficiency, particularly Microsoft Office Suite, data entry and internet
    • Property management office experience, a plus
