Job Announcement: Office Manager
The American Civil Liberties Union of Nevada (ACLU-NV) seeks an energetic and detail-oriented individual to serve as the organization’s Office Manager. Based in Las Vegas, the ACLUNV is a not-for-profit, nonpartisan organization which uses legal, legislative and public education approaches to protect and promote a broad range of constitutional issues including individual rights and freedoms, including free speech, racial justice, privacy, religious liberty, reproductive rights, LGBT rights, and more. The ACLUNV is an affiliate of the national ACLU, the leading defender of civil liberties guaranteed by our nation’s Bill of Rights.
The ACLUNV has headquarters in Las Vegas as well as an office in Reno, and has a staff of 10 people. It has nearly 2,000 members across the state and an annual budget of $800,000. DUTIES AND RESPONSIBILITIES:
Maintain company accounting and ensure the timely payment of bills.
Work with outside accountant to ensure compliance with governance and fiduciary responsibilities, including 501(C)3 and 501(C)4 regulations, Form 990, quarterly audits, and revenue reconciliations with the national ACLU office.
Prepare and present year-to-date financial reports of the budget, income, and expenses at Board meetings.
Work with the Executive Director, Legal Department, and Legislative/Policy Department to plan the annual budgets for Board approval.
Maintain general and professional insurance policies.
Work with the Executive Director and the Finance Committee of the Board of Directors to track investment of assets, organize deposits/ trades as requested.
Process bi-monthly payroll with outside vendor, maintain confidential payroll records, and ensure appropriate taxes and withholdings are deducted.
Working with the Development Director, ensure that contributions are acknowledged and reported accurately and immediately to national ACLU using Donor Direct.
Human Resources Administration:
Maintain confidential files for each employee that includes benefits, performance reviews, and all documents relating to employment.
Manage and update information pertaining to employee benefits. Coordinate local benefit programs with national ACLU programs as appropriate.
Facilitate postings of new staff positions.
Track usage of benefit programs for review by Executive Director.
Serve as consultant on all matters relating to personnel administration.
Recommend additions/modifications regarding employee policies and procedures.
Staff and Board Meetings Coordination:
Attend weekly staff meetings
At direction of Executive Director/President of Board to prepare meeting space, refreshments and logistics for quarterly and special Board of Directors meetings.
Responsible for oversight of all office activities including but not limited to office equipment, mail, administrative office files, photocopying, archiving, and administrative information systems.
Represent the organization and interface with all levels of staff, volunteers, and donors while maintaining tact, diplomacy, and confidentiality.
Responsible for information flow in a timely and accurate manner to all departmental and Board requests.
Supervise and organize office work and office clerical employees.
Manage all Information Technology systems. Coordinate with IT consultants. Administer users and content.
Maintain overall professional appearance of office and coordinate with building management.
Work proactively to create new and better ways to accomplish administrative functions of ACLUNV.
Other Duties as Required by the Executive Director:
In consultation with the Executive Director, Development Director, and the Board’s Development Committee, support fundraising events and other member, donor and/or public events held by ACLUNV in Southern Nevada.
Assist program staff, especially but not only the Development Director, to develop new fundraising events, research potential donors, and mail follow-up correspondence.
Attend community functions to network on behalf of ACLUNV.
To provide the Executive Director and Legal Director information related to public and media requests.
Assist in the maintenance of the organizational website when necessary.
To contribute as requested in the development of public education materials.
Assist the Development Director and Communications Coordinator, when necessary or desirable, to organize mass mailings for events, public education, and lobbying.
Participate at community events to distribute ACLU materials and recruit new members and volunteers.
Adherence to Section XII, “Ethics and Conduct,” of the ACLU-NV Employee Handbook.
Bachelor’s Degree required; Master’s Degree in relevant area of study (public administration, nonprofit management) preferred.
Organization and attention to detail a must.
Prior experience with bookkeeping, particularly for nonprofit organizations.
Familiarity with payroll systems, benefits administration, and human resource management.
Strong writing and interpersonal communication skills; should be comfortable interacting with everyone from donors to walk-in office visitors.
Proficiency in MS Office, QuickBooks, and Adobe required, as well as comfort with learning new software programs. Experience with donor databases and network/server management strongly preferred.
Supervisory experience strongly preferred.
Prior nonprofit experience, a passion for civil rights issues, and Spanish-language skills all a plus.
