Caliber Collision Centers, a leader in the collision repair industry, is looking for an experienced and detail-oriented Office Manager for the busy Cypress location.
Responsible for ensuring World Class Customer Experience by all front office staff. Additional responsible for a broad scope of accounting and HR-related administrative and management duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned
§ Work closely with Center Manager to create a team environment producing high performance results
§ Create and maintain a front office environment of World Class Customer Experience through example and oversight of front office staff
§ Assist Center Manager to promote safety awareness and compliance throughout the center
§ Provide direct reports with clear expectations and the necessary tools, training and information to effectively perform their jobs
§ Establish clear metrics and hold direct reports accountable through regular feedback and documentation
§ Reward performance of direct reports through recognition and acknowledgement
§ Ensure center’s consistent application of all Caliber SOPs through ongoing training and monitoring
§ Ensure R.O. file accuracy and SOP, DRP and regulatory (BAR) compliance during repair and prior to vehicle delivery
§ Provide accurate and timely payroll and HR-related administration and recordkeeping for all center associates.
§ Maintain Accounts Receivables, Accounts Payable accounts and Cash Handling (DRE) procedures to company standards
§ Complete all Accounting related daily, weekly and monthly processing and reports per company SOPs and in a timely and consistent manner
§ Ensure controllable expenses are within acceptable guidelines
§ Mitigate risk: recognize and proactively manage potential problems (associate safety, customer, facility, etc.), including escalating to next level as necessary
§ Other duties as assigned
§ Analyzes and coordinates office operations and procedures such as bookkeeping, preparation of payrolls, personnel, filing systems, requisition of supplies, and clerical services as required.
§ Evaluates office production and revises procedures to improve efficiency of workflow.
§ Uses independent judgment to make recommendations regarding accounts receivable delinquent accounts.
§ Is responsible for decisions of significant matter in the absence of the center manager.
Must be at least 18 years of age
Must be able to satisfactorily complete a criminal background check
Working knowledge of Microsoft Word, Excel, and
Maintains a well groomed, professional appearance
Personable, friendly demeanor
Ability to effectively communicate with others, oral and written
Ability to read and understand basics of repair instructions, written estimates and work orders
Organizational, multi-tasking; adapts easily to fast-paced environment
Must be able to sit for long periods of time and use/read computer keyboard and screen
Must be able to walk, stand, bend, stoop, kneel ,crouch, and reach frequently
Occasionally exposed to fumes, airborne particles, and/or caustic chemicals
Must be able to lift up to 15 pounds
High school education or equivalent
Experience in the collision repair industry a plus
