The Office Manager will be responsible for overall administrative support activities for NYGC, including coordinating those activities among the three New York City sites and those employees working from home. This includes office services and related activities, arranging for office moves, and making arrangements for office meetings, both on- and off-site.
Manage the reception areas to ensure that a professional image is maintained for employees and outside visitors.
Manage phone coverage to ensure that the need for voicemail is minimized during core working hours and that urgent messages are responded to promptly.
Supervise and coordinate overall administrative activities for NYGC.
In concert with senior management, draft and enforce office policies and procedures.
Supervise the maintenance of the office areas and equipment, and, in concert with senior management, seating arrangements for employees.
Manage the purchase of office supplies and equipment in accordance with purchasing policies, procedures, and budget.
Responsible for day-to-day interface with property management company on issues as they arise (plumbing, HVAC, etc.)
Manage filing systems, both paper and electronic, and ensure that they are audit-ready.
Manage NYGC’s public calendar and public contact file.
Extensive administrative and office management experience, including experience supporting multiple senior executives and experience in a start-up environment.
Excellent facility with phone and mailing systems.
Good planning and organizational skills.
Well-developed interpersonal and communication skills.
Ability to deal with conflict in a mature, collaborative manner.
Professional appearance and manner.
Proficiency in MS Office for Macintosh.
Ability to manage individuals, both directly and indirectly.
Ability to negotiate effectively.
Ability to lift up to 20 lbs.
