Job Summary:

As Office Manager you are responsible for overseeing all aspects of day-to-day office operations including, reception duties, vendor coordination duties, and other general administrative duties. Additionally, you will be responsible for supporting company departments; creative, production, account services and executive as needed. As Office Manager you will be driven, highly organized and detail oriented with the ability to multi-task. You must have strong written and verbal communication skills and be able to manage many responsibilities, all with a smile on your face.

Job Responsibilities:
  • Provide day-to-day office management; facilities, scheduling, and overall maintenance of office operations
  • Answer the phones and route calls accordingly
  • Sort and ship mail via USPS, UPS or FedEx
  • Order office supplies and food
  • Organize office parties and client visits
  • Run office errands as required
  • Assist with projects as requested by the executive team
  • Arrange company travel
  • Assist with company HR and management of BambooHR: inputting vacation time, uploading files, setting up new employees and onboarding
  • Post open job positions online and help facilitate the hiring process via the Resumator
  • Manage RTA/CTA program and update the list every month, as needed
  • Update the ADT/Key fobs/ Key copies for the office
  • Assist with the filing, scanning and mailing out of bills
  • Provide product support for Oncall products including customer demos, customer support, creation of ads/assets, and monthly reports
  • Provide bi-monthly expense reports

Qualification:
  • Excellent organizational and communication skills
  • Proficiency in MS Word, MS Excel
  • Demonstrated history of increased responsibility and/or working with minimal supervision
  • 2-3 years office management experience in an agency environment preferred
  • Excellent problem solving skills
  • Ability to maintain focus and manage multiple initiatives simultaneously
  • Bachelors degree preferred, but not required
  • Experience in client services environment a plus
  • Sense of humor
