A well known creative firm in NYC is looking for an Office Manager with previous management and facilities experience. A wonderful permanent opportunity for the right candidate!
Responsible for all budgets related to facilities (events, storage, supplies, repairs, maintenance, studio moves, food + beverages, etc.).
Review and approve invoices for all services performed and purchases made.
Evaluate monitor and negotiate all maintenance contracts.
Oversee all office event planning both on and offsite. Events include all staff meetings offsite, holiday parties, client events, retreats, quarterly art exhibit openings, etc.
Manage the break down and installation of art shows.
Oversee and train the Office Assistants and Food Services Assistants, providing direction to maintain a professional and courteous interface with clients and staff.
Work closely with each Office Assistant to ensure their assigned floors are clean, organized, clutter free and well maintained throughout the day. Manage assignments and schedules with back-up schedule for each of them.
Oversee day to day activities of the mail room and work closely with the mailroom coordinator to monitor the quality of service.
Work closely with Studio Directors and Office Leaders on studio space planning and seating. Forecast upcoming changes and develop scenarios.
Update office seating charts on a weekly basis to reflect adds/changes/deletions and open slots.
Manage and supervise studio moves and renovations.
Coordinate with interior designers on furniture samples and handle all Certificate of Insurance requests. Schedule freight access as needed.
Coordinate with contractors and vendors on facility issues in regards to painting and office repairs.
Who we are looking for
Eight plus years of Office Management experience required--prior management and facilities experience a plus. A wonderful permanent opportunity for the right candidate!
