General upkeep of Chicago offices, including conference rooms, pantries and client areas
When needed assist the receptionist in greeting and directing all visitors, including vendors, clients, job candidates and customers.
Work with Regional Manger to ensure seating is controlled and planned out for future growth.
Weekly reporting on floor plans.
Work with local building management to ensure that all services are utilized and working in good order (daily porter service).
Manage external vendor maintenance schedules.
Extensive software skills are required, as well as Internet research abilities and strong communication skills.
Ability to manage people: two receptionists.
Properly address customer and employee concerns by reaching out to the right departments or individuals.
Client Briefing Center organizer responsible for calendaring, room and catering preparations, maintaining appearance of space, client greeting, and miscellaneous staff and client assistance as needed
Assist with new hire onboarding process
Assist with bulk packages (moving to another location)
Sort and distribute mail and create mail slots
Set up training rooms for new hire orientation and other internal onsite events.
Reserve conference rooms as requested.
Gather extra equipment and office supplies to prepare cubes for new/transferring employees.
Distribute marketing materials throughout building.
Maintain guest cubes, hotel and conference rooms.
Manage ordering of all office supplies and track inventory on monthly basis.
Ability to plan, organizes, and coordinates work in the required areas; maintain records and reports, communicate effectively, establish and maintain cooperative working relationships.
Excellent interpersonal communication skills
Ability to contribute successfully to cross functional teams
Demonstrates organizational and multi-tasking skills
Must be able to comfortable lift at least 35 lbs
Self starter; handles self with minimal supervision and is pro active
Must have a great can do attitude and willingness to complete the job
